Assistant, SQFI Customer Service and Administration

Description

HYBRID ROLE: The person in this role will only need to work in the office a minimum of two (2) days per week.  

Primary Purpose:

To provide customer service and administrative support for the Safe Quality Food Institute (SQFI).

Essential Job Functions:

The essential job functions of this position include, but are not limited to the following:

Customer Service Support (50%)

  • Serve as one of the primary customer service representatives for SQFI
  • Answer and screen incoming calls from SQFI stakeholders; retrieve messages from the general SQF phone and email inbox and respond or disseminate to appropriate person for response; prepare, proof, and edit general documents, forms, and reports; create, categorize, and maintain correspondence and general files; fulfill requests for information by telephone, fax, or mail; maintain department schedules
  • Respond to routine questions and requests for SQFI information or find the appropriate resource relating to technical, procedural, and implementation questions regarding SQFI processes and procedures; provide information about SQFI registration and policies

 

General Administrative Responsibilities (50%)

  • Manage meeting arrangements, webinars, conference calls, appointments, etc.
  • Manage travel arrangements and prepare expense reports
  • Assist with design and creation of sales presentations
  • Assist with formatting and editing technical documents 
  • Process vendor invoices and review for proper coding, documentation, and payment amounts; organize and deliver invoices with respective support documents
  • Manage timely preparation of expense reports and invoices
  • Assist with data input, verifying information in the database and reconciling data inputs, outputs, and exchanges
  • Prepare activity reports and summaries from the database
  • Prepare all quarterly financial reports
  • Organize, prepare, and deliver SQF contract agreements to stakeholders and ensure proper documentation

 

Other Job Functions:___________________________________________________________________

  • Other responsibilities and duties as assigned or directed
  • Work with internal and external SQFI stakeholders including individuals and contact representatives outside of the United States; A second language, especially Spanish, is preferred but not required

 

Physical Requirements:________________________________________________________________

  • Normal office environment requiring use of typical business equipment (e.g., computer, telephone, fax, copier)
  • Ability to lift at least 25lbs
  • Must be able to travel locally and out of town to off-site SQFI meetings and conferences as needed

 

 
Position Requirements

Required Education, Skills and Experience:___________________________________________

  • A minimum of one to two years of prior professional work experience in a similar role or related field
  • College degree preferred
  • Prior work experience in sales and/or marketing is preferred
  • Experience using HubSpot and/or Salesforce CRM is a plus
  • Computer literacy, including formatting skills and an understanding of and ability to use Microsoft Office 365 products (Word, Outlook, PowerPoint, and Excel). Intermediate knowledge of Excel is a plus!
  • Clear understanding and ability to process and maintain information through database software
  • Excellent verbal and written communication skills and team orientation 
  • Strong relationship and team building experience working with internal and external stakeholders
  • Strong grammar and proofreading skills
  • Typing speed of at least 50 WPM
  • Professional demeanor, approach, and appearance
  • Strong customer service and interpersonal skills
  • Must be self-directed with excellent project and time management skills with an ability to organize, prioritize and accomplish multiple tasks with strict attention to detail and with minimal supervision
  • Experience with Adobe, Canva and other design platforms
