Job Description:

The Administrative Program Coordinator plays a pivotal role in maintaining administrative activities and providing support for day-to-day operations related to onsite programs. Responsibilities encompass recruitment, enrollment, administrative support, marketing, and other tasks relevant to program operations.

Responsibilities:

Recruitment and Hiring:

Assist in the recruitment process, including sourcing candidates and scheduling interviews.

Conduct applicant interviews and contribute to the selection process.

Conduct school visits to engage with potential participants.

Onboarding and Orientation:

Coordinate the collection and verification of i9 documents for new hires.

Serve as a resource for program expectations, policies, and procedures.

Organize and facilitate training sessions for participants and parents.

Develop training modules, flyers, and other necessary materials.

Scheduling:

Manage schedules and calendars efficiently to ensure smooth program operations.

Ensure adequate coverage across program activities.

Documentation:

Collect and organize data for surveys and evaluations.

Compile data and prepare reports on program outcomes and impact.

Ensure compliance with program privacy regulations.

Administrative Tasks:

Handle telephone inquiries and provide excellent customer service.

Manage check-in procedures for interns and maintain accurate attendance records.

Deliver exceptional customer service to parents, addressing inquiries and providing updates as needed.

Qualifications:

Previous experience in youth development, workforce development, or related fields preferred.

Demonstrated excellence in customer service with a proactive problem-solving approach.

Strong organizational and administrative skills.

Excellent communication and interpersonal abilities.

Proficiency in Microsoft Office suite and other relevant software applications.

Associates degree or higher in a related field preferred, or equivalent experience.

Ability to work effectively and independently in a fast-paced environment.

Reliability and commitment to follow through on tasks and responsibilities.

Compensation: $39,000-$41,000

 
Position Requirements

SKILLS/KNOWLEDGE REQUIRED:

  • High school diploma or equivalent
  • One year of office clerical experience
  • Training in secretarial skills and use of common office equipment
  • Typing/keyboarding skills of at least 50 wpm
  • Good written and verbal communication skills
  • Good organization skills and attention to detail
  • Strong customer relations skills
  • Able to maintain strict confidentiality
