Geneva College is a Christian liberal arts college in the reformed tradition located about 50 miles north of Pittsburgh. Founded in 1848 by the Reformed Presbyterian Church of North America, Geneva has majors in both liberal arts and pre-professional programs, and offers both undergraduate and graduate degrees. Geneva's faculty provide a challenging education that prepares students for careers, for further education, and for life. In all fields of study, students are challenged to explore the implications of the Christian faith on their discipline. Geneva has approximately 1,350 students enrolled in its various programs taught by its faculty of nearly 70 members. The college seeks to prepare students to serve Christ and the world in all areas of society, including work, family, and the church. Geneva is a founding member of the Council of Christian Colleges and Universities (CCCU).

Description

The following statements are intended to describe the general nature and level of work being performed. They are not intended to be construed as an exhaustive list of all responsibilities, duties, and skills required of personnel so classified.

Summary of Responsibilities: The Registrar is responsible for the oversight of the academic records of the institution and the monitoring of academic policies, procedures, and curriculum. The Registrar directs all facets of the operations of the Registrar's Office including student registration and records, class schedules, instructional space assignments, graduation clearance, and other related matters. This position also plans and develops strategies for the maintenance, operation, and upgrading of the academic information infrastructure. The Registrar supervises an office team, which is a critical component of this position.

Essential Responsibilities: (These essential responsibilities are those the individual must be able to perform unaided or with the assistance of reasonable accommodation.)

  1. Record keeping:
    1. Schedules students for classes that assist them in earning degrees and acts as reference person for current and prospective students in registration matters.
    2. Supervises course scheduling and student registration.
    3. Consults with faculty advisors about student records and academic careers.
    4. Evaluates transfer credits for incoming students.
    5. Authorizes course transfers for current students.
    6. Responds to emails and telephone calls regarding transfer credits and academic programs.
    7. Oversee and operate as the chief administrator for CollegeSource products, Transferology & TES (Transfer Evaluation System).
    8. Operate as Institution Administrator for Acadeum Consortia (Course Share); add courses and students as necessary.
    9. Operate as chief Registrar Administrator for Rize Education, adding students, acting as liaison, and receiving grades at the end of the term.
    10. Evaluate courses submitted to TES in a timely manner with the goal of a 24hr turn around. Seek department chair input and approval as needed for major courses.
    11. Conducts degree audits for students throughout the year upon request utilizing the Advising Worksheet.
  2. Reporting and Policy Management:
    1. Monitors policies and procedures for registration and advising.
    2. Completes records regarding athletic eligibility and works with coaches, faculty, and students regarding athletic eligibility.
    3. Handles various aspects of policy creation, review, and implementation.
      1. Works with academic committees to set and implement policies.
      2. Implements faculty academic policies.
      3. Reviews policy exception requests.
    4. Develops and publishes major college information documents including, but not limited to, College catalogs, class schedules, Academic Calendar, and 5yr Calendar.
    5. Coordinates, interfaces, and improves the institutional database both departmentally and campus-wide using the available reporting tools.
    6. Acts as a resource for recommended changes in college courses, programs, and degrees.
    7. Acts as liaison between Geneva College and off-campus programs.
    8. Represents the College to various institutional divisions as well as externally to governmental agencies, vendors, students, and their parents, and/or the general public.
    9. As ex-officio member of the Graduate and Adult Program committee, reviews the policies, methods of program delivery, majors, and courses offered by non-traditional Adult Degree Completion Programs.
    10. As an ex-officio member of the Academic Program Committee, reviews the policies, methods of program delivery, majors, and courses offered by the traditional undergraduate program.
    11. Manages the Academic Continuation Process and works with the Provost and appeals of continuation decisions.
  3. Registrar Oversight:
    1. Directs the daily operations of the Registrar's Office.
    2. Constantly implements and updates strategies to ensure accuracy, improve efficiency, streamline the operations of the Registrar's Office, and to effectively accomplish the organization's goals and objectives.
    3. Contributes to commencement planning and procedures. Review commencement program names and degree listings.
    4. After final grades have been submitted at the conclusion of each semester, Confer degrees (May, Aug, Dec).
    5. Oversees all related academic computer system applications, which includes maintaining and upgrading academic records archives, online student database, and other electronic databases and information systems.
    6. Develops and manages annual budgets for the organization and performs periodic cost and productivity analyses.
    7. Strives to gain additional professional knowledge of the field, evaluates new technologies, and recommends implementation as appropriate.
    8. Performs all other duties as assigned.
  4. Supervision:
    1. Supervise regular employees to include interviewing, hiring, training, planning, assigning/directing work, coaching, evaluating performance, affirming, disciplining, addressing complaints, and resolving problems.
    2. Must have a mindset of mentoring employees under supervision. Should be able to lead in a way that sets a good example, promotes teamwork, and encourages a positive, efficient work environment.

Job Requirements - Administrative:

  1. General: Individuals must possess the knowledge, skills, and abilities listed or are able to explain and demonstrate that they can perform the essential responsibilities of the job, with or without reasonable accommodations in order to safely perform the essential responsibilities of the job.
  2. Physical: Must be able to perform the following: talking, hearing, and seeing. Must have sufficient manual dexterity to be able to operate all office equipment including, but not limited to computers, printers, copiers, scanners, and telephones.
  3. Confidentiality: Individuals must recognize that management of data, including personal information, grades, budgets, programs, and policies is necessary to the operation of the College. Such information must be kept private and confidential for the protection of the College and to obey Federal and/or State laws. Should there be doubt as to whether a certain matter is to be protected, it should be discussed with your supervisor before making a disclosure.
  4. Mental: Must be able to reason, analyze, prioritize, conceptualize, make judgments, and solve problems.

Qualifications:

  1. Minimum:
    1. Education/Certification: Bachelor’s degree
    2. Experience: Five years of work in a registrar’s office with progressive responsibilities. Three years of supervisory experience.
    3. Skill/Abilities:
      1. Knowledge of principles and practices of college registration
      2. Knowledge of database construction, management, and retrieval methods
      3. Ability to configure and use computerized database programs
      4. Knowledge of academic instruction, degree, and program requirements
      5. Knowledge of athletic eligibility
      6. Record keeping and report writing
      7. Management and supervision
      8. Ability to provide technical leadership in registration
      9. Ability to communicate effectively verbally and in writing
      10. Ability to operate PC and related software
      11. Ability to maintain effective working relationships
      12. Strong ability to supervise registrar staff
      13. Ability to advise and counsel others
    4. Christian Commitment: Eligible candidates must be thoughtful and articulate Christians and an active member of an evangelical Christian church. Preference will be given to candidates who support and have an articulate understanding of the Reformed faith. The individual must understand and support the College’s “Foundational Concepts of Christian Education” by expressing an evangelical Christian profession of faith and demonstrate the ability to integrate a Christian perspective in their work.
  2. Preferred:
    1. Education/Certification: Master’s degree in a relevant field.
    2. Experience: Seven years experience as a college Registrar with Jenzabar experience.
