The following statements are intended to describe the general nature and level of work being performed. They are not intended to be construed as an exhaustive list of all responsibilities, duties, and skills required of personnel so classified.

 

Summary of Responsibilities:

The position of Assistant Registrar serves within the Registrar’s Office, performing a broad range of duties and functions, from assisting the Registrar with the oversight of the Office and functions of the daily operations of the Office to providing training and support for the Office team. The Assistant Registrar is responsible for providing direction, leadership, and support to the Registrar’s Office related to the electronic student information system, particularly the degree audit system, the related catalog, and affiliated programs. This individual will also support the Registrar in activities related to commencement.

The position of Institutional Research Analyst serves within the Registrar’s Office and is charged with collecting, analyzing, and reporting institutional data for both internal and external consumption. The primary goal of this work is that the College makes decisions based on good data, and that we accurately portray ourselves to our many constituencies. The Institutional Research Analyst reports directly to the Registrar but has secondary reporting responsibilities to all members of the Cabinet. The Institutional Research Analyst serves as the Accreditation Liaison Officer (ALO) for the Institution with Middle States.

 

Essential Responsibilities: (These essential responsibilities are those the individual must be able to perform unaided or with the assistance of reasonable accommodation.)

  1. Assistant Registrar
    1. Modify and test applications, maintain, edit, and update current degree audits, including troubleshooting, fixing bugs, and improving functionality.
    2. Update Advising Trees with catalog changes every year.
    3. Ensure students have the correct AIMS on their records in the Advising Module.
    4. Process catalog changes forward year to year in the database.
    5. Make alterations to student’s advising requirements when Course Substitution forms are received from Advisors.
    6. Assist with tracking down solutions to Ineligible Hours report from Student Financial Services.
    7. Employ a variety of communication skills to work cross-functionally and successfully with internal and external colleagues. Seek out and share relevant information. Inform team of new or changed procedures. May demonstrate project prototypes/demos to a variety of users across campus departments and groups.
    8. Represent Registrar on committees as requested.
  2. Oversee Registrar Office Aspects of Commencement
    1. Invite and confirm graduation participants, initiates the distribution, collection, and processing of all graduation applications to include verification of graduation date, majors, minors, concentrations, student.
    2. information updates and/or corrections, ceremony participations verification, and fee collection. Lead the graduation finale event.
    3. Prepare Graduation Honors: Verify honors recipients, prepare all honor award related items, certificates, cords, etc., and distribute the same to students.
    4. Prepare Commencement Program: Send confirmed lists of graduates, honors graduates, and prize information to the Public Relations department for inclusion in the commencement program.
    5. Finalize commencement process: Update all databases (including Jenzabar) related to honors, completed coursework, etc. Prepare and mail all finalized diplomas. Follow up and complete this process for all information for students whose work towards graduation are still in process or have ended.
  3. Institutional Research and Assessment
    1. Develop and implement procedures for collecting, analyzing, and reporting qualitative and quantitative information.
    2. Design, conduct, write and present institutional research on such topics as student retention, cohort tracking, and institutional outcomes.
    3. Create, design, develop, query, and maintain computer databases, files, and records related to the institutional research function.
    4. Maintain liaisons with other offices to acquire, provide, and ensure the integrity of data and research.
    5. Write and execute computer queries to retrieve information from the Student Information System (Jenzabar) and other relational databases.
    6. Perform descriptive and inferential statistical calculations.
    7. Update and maintain institutional research and student learning assessment data on the website and internal pages (i.e., MyGeneva).
    8. Collect, maintain, index, and update reports and reference material used for institutional research.
    9. Respond in a timely manner to specific requests for institutional data.
    10. Assist in designing appropriate and reliable measures to assess institutional effectiveness.
    11. Assure accuracy and timely completion of required reports.
    12. Serve as key holder for IPEDS reporting.
    13. Complete the Middle States Institutional Profile, attend Middle States conferences as necessary and fulfill the responsibilities of the ALO.
    14. Completes the National Student Clearinghouse Enrollment Report every 45 days for Traditional terms and monthly for non-traditional terms. Resolves any errors or discrepancies in a timely manner.
    15. Completion or supervision of completion of the Annual Academic Report
    16. Completion or supervision of completion, of various internal and external reports including IPEDS, Delaware Study, CCCU surveys, College Boards, common data set, and Peterson’s Survey’s etc.
    17. Manage a schedule of all campus-wide assessment measures administered to any segment of the Geneva community (including students, faculty, or staff).
    18. Coordinate and administer campus-wide measures administered to students including those selected by the retention committee.
    19. Serve as Ex-Officio on the Academic Assessment Committee (AAC).
    20. Consult with the AAC regarding issues related to administration of the student learning outcome measures: for example, generating a sample, incentives, etc.
    21. Collaborate with the Core Studies Department, in the collection of institutional student learning outcome assessment data.
    22. Maintain an assessment timeline for institutional student learning outcomes and coordinate with the Provost to update the State of the Academic Program (SOAP) report template annually.
    23. Compile institutional student-learning outcome information submitted via the SOAP reports.
    24. Collaborate with individuals who work directly with the data collected and/or responsible for the measurement of Institutional Effectiveness. At present, this would include the Provost & the Vice President/Dean of Student Development.
  4. Miscellaneous
    1. Perform other duties as assigned.

Qualifications:

  1. Minimum:
    1. Assistant Registrar
      1. Education/Certification: Bachelor’s Degree
      2. Experience: Two – four years’ experience in a Registrar’s Office or in a Higher Education setting working with student data
      3. Skill/Abilities: Excellent, proven PC technology skills. Ability to work with students, staff, and faculty.
    2. Institutional Research Analyst
      1. Education/Certification: Any combination of experience and training that would likely provide the required knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities would be Master’s degree in Higher Education, Educational Research, Social Research, Statistics, Mathematics, Economics, or a related field.
      2. Experience: One year of professional level research experience in or similar to institutional research; and one year of experience with a student information system and relevant statistical software, such as SPSS or SAS.
      3. Skill/Abilities: Requires knowledge of: Institutional research, its literature, organizations and practices; research design, methods, sampling frames, and analytical strategies and techniques; descriptive and inferential statistics; data reduction and display techniques; survey design and research techniques; statistical and PC software packages and relational database management software use; and word processing. Requires ability to: Acquire knowledge of higher education, college functions, policies, processes, practices and dynamics; establish cooperative and effective relationships for research projects and presentations; design and conduct institutional research projects and studies; gather, validate, and interpret data from a wide variety of sources including literature and Internet searches; perform statistical analyses and interpret results and findings; report and communicate complex ideas and research information and findings clearly and concisely in oral and written form to a variety of audiences; create and maintain research files, records, and information systems related to the institutional research function; place and interpret institutional research data and findings in the context of higher education
    3. Christian Commitment: Must be a thoughtful and articulate Christian and an active member of a Protestant evangelical Christian church. Preference will be given to candidates who support and have an articulate understanding of the Reformed faith. The individual must understand and support the College’s “Foundational Concepts of Christian Education” by expressing an evangelical Christian profession of faith and demonstrate the ability to integrate a Christian perspective in their work.
  2. Assistant Registrar - Preferred:
    1. Education/Certification: Bachelor’s degree in Business Administration or Computer Science
    2. Experience: Three – five years’ experience with Jenzabar EX or similar database
    3. Skill/Abilities: Proven Microsoft Office experience plus MS SQL experience
  3. Institutional Research Analyst - Preferred:
    1. Education/Certification: Master’s degree in an appropriate field
    2. Experience: Three years of experience in higher education with an institutional research background; commitment to a learning-centered environment. Three to five years’ experience with relevant computer hardware and software, such as SPSS or SAS, and preparing datasets for analysis.
    3. Skill/Abilities: Proficiency using the following PC programs: Access, Excel, Adobe Acrobat Pro, Jenzabar EX or similar student information system, and InfoMaker.
