PAFA is looking for a Library Circulation Assistant to join our museum team! This person will have a passion for education and the arts, be able to work both independently and collaboratively, and maintain an inclusive environment for all community members.

Founded in 1805, the Pennsylvania Academy of the Fine Arts (PAFA) is America's first school and museum of fine arts. Located in the center city of Philadelphia, PAFA is intimate in scale with a strong sense of community. PAFA offers several nondegree and certificates in studio art and art appreciation programs. PAFA’s museum has an outstanding collection of American art, and the museum actively collects and exhibits contemporary art, including work in new media. Additionally, PAFA is home to the Brodsky Center, a print and papermaking center focused on the creation of innovative editions by contemporary artists.

POSITION: Library Circulation Assistant

PAFA’s Arcadia Fine Arts Library seeks a friendly, customer service-oriented individual with strong interpersonal skills to provide high quality library services associated with the circulation desk to patrons. Candidate must be able to juggle priorities, work independently, and be a welcoming presence in the library. This role directly interacts with students, faculty, and staff and is a great opportunity for a service-oriented professional. The principal duties of the position are performed in a general office/library environment.

This is a full-time, temporary position that includes eligibility for all PAFA benefits. The expected length of service is dependent on date of hire but will ultimately last between eighteen (18) and twenty-four (24) months. The schedule is aligned with the operating hours of the Arcadia Fine Arts Library with working hours Monday through Friday, from 10am to 6pm.

Under the supervision of the Director of Archives and Collections, the assistant will be tasked with a variety of responsibilities and projects:

TYPICAL DUTIES AND RESPONSIBILITIES

  • Issues new and replacement patron library cards
  • Checking in and out library materials
  • Troubleshooting and directing patrons in the use of library services and materials
  • Instruct and assist patrons in the use of the online catalog and other library electronic equipment including copiers, computers, printers, and scanners.
  • Process fines and fees and handle financial transactions including reconciling reports.
  • Perform opening and closing library duties and prepare the library for use.
  • Process incoming and outgoing library material, including Interlibrary Loan (ILL) materials.
  • Process new and withdraw old issues of periodicals.
  • Prepare new and mend materials for circulation by adding plastic jackets, labeling, inventorying, stamping and barcoding materials.
  • Assist in shelving materials and maintaining the appearance and order of the library.
  • Monitor, track, secure, and reserve study rooms and equipment.
  • Answer department phone calls and emails as well as generate reference analytics
  • Assist with library upkeep (e.g. cleaning floors, tables, study rooms, computers).
  • Assist with projects that help support discovery, access, and use of PAFA’s other collections.
  • Oversee student work-study staff
  • Performs other duties of a comparable level or type.
 
Position Requirements

Qualifications:

  • Bachelor's degree and a minimum of one year of experience in a library, preferably in an academic or research library, or an equivalent combination of education and experience is required.
  • A strong commitment to customer service and library patron access.
  • Demonstrated ability to interact and communicate tactfully and effectively with a culturally diverse range of people with varied research and instructional needs.
  • Excellent written and oral communication skills.
  • Demonstrated ability to work independently and to exercise initiative while working without close, immediate supervision and while working collaboratively with others.
  • Ability to handle complex work assignments and to solve or refer problems to appropriate staff.
  • Must be able to physically stand, bend, reach, lift up to forty (40) pounds, and push a book cart
  • Excellent computer hardware and software skills, including expertise using Google Apps and Microsoft Office, email, Windows and Mac OS.
  • Working knowledge of an integrated library system (preferably Koha) preferred; previous library work preferred.
  • Working in a collaborative and collegial space.
