Administrative Coordinator- Finance 

Description

The Richmond Behavioral Health Authority is looking for an Administrative Coordinator to join our Finance Team! This candidate will perform intermediate administrative support work maintaining Finance files and records, greets and communicate with staff and guests, answers incoming calls, receives and disseminates incoming mail while maintaining an effective workflow in the Finance Office. Work is performed under the direct supervision of the Fiscal Manager.

Essential Functions

  • Receives mail daily and distributes to proper staff persons Retrieves and sends faxes as needed for the Finance Department
  • Composes letters and memos as directed by the Chief Financial Officer
  • Monitors and properly distributes emails that come into the Accounts Payable email Greets visitors to the Finance office
  • Coordinates with Human Resources and Payroll to handle personnel change documentation to ensure our files have the most current information; i.e. new hire and change documentation
  • Maintains a file for all Voided Checks
  • Organizes meetings and schedules as needed by the department; ensures that the conference rooms is prepared for use
  • Provides clerical assistance to Payroll, Accountants, Accounts Payable and Reimbursement Team as directed by the Fiscal Manager or the Chief Financial Officer
  • Maintains an inventory of office supplies; orders supplies as needed
  • Submits work requests for IT support and office maintenance/repair; coordinates action as submitted Performs other duties as directed by the Chief Financial Officer.

Knowledge, Skills and Abilities

Thorough knowledge of standard office practices, procedures, equipment and office assistance techniques; strong communication skills; thorough knowledge of and ability to operate personal computers, associated software, hardware and peripherals; ability to read and understand moderately detailed policies, procedures and job related materials; ability to organize records and create an easy system for other to follow; ability to handle multiple tasks and duties simultaneously; ability to work independently and solve problems without immediate direction; within scope of responsibility; ability to establish effective working relationships with associates, agencies, medical personnel, law enforcement, vendors, clients and the general public.

 
Position Requirements

Education and Experience

Associate’s degree with coursework in business administration, human resources, or related field and considerable experience in program and administrative support, customer service and office assistance, or equivalent combination of education and experience.

Physical Requirements

This work requires the occasional exertion of up to 10 pounds of force; work regularly requires sitting, speaking or hearing, using hands to finger, handle or feel and repetitive motions and occasionally requires standing, walking, reaching with hands and arms and lifting; work has standard vision requirements; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; work requires preparing and analyzing written or computer data, operating motor vehicles or equipment and observing general surroundings and activities; work has no exposure to environmental conditions; work is generally in a moderately noisy location (e.g. business office, light traffic).

Special Requirements

Valid driver’s license in the Commonwealth of Virginia.

Starting Salary Range 21.34
