Job Summary

Provide coordination of services and programs for refugees; supervise case managers who are providing direct services to clients; oversee specific refugee programs such as Reception and Placement, Match Grant, Employment, Post-Resettlement and Health; act as a liaison between program and outside agencies and persons relevant to the specific programs.

Role and Responsibilities

  • Coordinate service delivery, either directly or through referrals, both within the program and with community partners.
  • Supervise case managers, housing specialist and housing assistant staff, ensuring compliance with agency policies, rules, and regulations.
  • Approve staff’s monthly mileage reports and phone reimbursement forms.
  • Develop agenda and lead Resettlement team meetings twice a month.
  • Train case managers on resettlement and employment program requirements
  • Represent STVCC at interagency meeting (DHHS, Michigan Works, etc).
  • Participate with Program Director in hiring, evaluating, and disciplinary procedures for staff supervised.
  • Review all case files and case notes during service period (Resettlement, Employment, Post-resettlement and Match Grant Programs) to assure case file maintenance.
  • Meet regularly with case managers to discuss case files and case notes- address necessary revisions, corrections, and follow-ups.
  • Develop and maintain systems and procedures to assure clients' resettlement and employment needs are met.
  • Communicate policy, procedures and regulations to employees, providing on-going training as needed.
  • Assign cases to staff, maintain caseload tracking spreadsheet
  • Assign Michigan Works clients to STVCC case managers and send assignments to Michigan Works.
  • Receive “Request for Services” forms from clients for employment or post-resettlement services.
  • Assess walk-in Special Immigrant Visa (SIV) clients for post-arrival benefits and assign to case manager for relevant services
  • Document services using provided or created forms, keep accurate records, prepare appropriate statistics, and submit required reports.
  • Participate in yearly budget preparation and grant proposals.
  • Evaluate programs and services offered to assure quality programming.
  • Coordinate caseloads and monitor client services.
  • Write related reports for USCCB and other grantors.
  • Capture and input data, generate and maintain client data files as appropriate.
  • Verify accuracy and compliance with funding source mandates.
  • Attend and actively participate in Agency and Program meetings, conferences, in­ services and other actives deemed appropriate.
  • Oversee DMS database entries for Case Managers.
  • Complete monthly and quarterly reports as requested in a timely manner.
  • Request checks, gift cards, pretty cash, bus passes, and submit vouchers to accounting. Act as liaison to Facilities. Monitor program supplies.
  • Monitor refugee arrivals to Lansing and manage a small client case load if necessary.
  • Liaison with Michigan DHHS for client concerns and inquiries.
  • Serve as source of DHHS information, policy and changes in program requirements to inform and implement and train case managers.
  • Act as program point contact for all matters related to COA
  • Provide written translation and verbal interpretation for Arabic languages as needed.

Position Requirements

Qualifications and Education Requirements:

 

Education: Possession of a Bachelor's degree in Social Work, Psychology, Social Services, or related field or equivalent experience.

 

Experience: A minimum of one to three years related and progressively more responsible experience in supervision and coordination in a field related to the program areas of responsibility. Excellent written and verbal skills required. Prior Case Management experience in social services field preferred. Experience with people from a culture outside the United States combined with empathy and understanding of refugees preferred.

 

Registration, licenses, certifications or special training: Competency in basic computer programs including all MS Office programs. A valid Michigan Driver License, access to reliable transportation and maintain appropriate insurance.

 

Physical Demands: The physical demands and work environment described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

  • Emotionally able to work with information that may be traumatic in nature, as well as, work with individuals or families in crisis or experiencing trauma.
  • Ability to stand and/or walk up to 8 hours per shift.
  • Work involves talking, stooping, squatting, twisting, climbing, kneeling, hearing, using hands to handle, feel or operate objects, tools, or controls and reach with hands and arms.
  • Vision abilities required by this job include close vision, distance vision and the ability to adjust focus.
  • May be required to push, pull, lift, and/or carry up to 25 pounds.
  • Ability to sit and use computer workstation, including keyboard and visual display terminal for extended periods of time.
  • Noise in the work environment is usually moderately quiet but can be very loud at times.
  • Work in an environment with various degrees of discomfort.
  • Driving as needed throughout the day.
