Job Title: Finance Assistant

FLSA Status: P/T hourly

Date: September 29, 2020

Reports to: Finance/Business Director

Primary Function/Department: Finance

POSITION SUMMARY:

This position supports the work of the Y, a leading nonprofit, charitable organization committed to strengthening community through youth development, healthy living and social responsibility. The Finance Assistantat Greater Naples YMCA maintains a supportive, positive atmosphere that welcome and respects all individuals and coordinates entry level accounting functions such as accounts payables, accounts receivables, develops and implements relationship communications and fundraising activities in support of the Ys philanthropic endeavors.

Position Requirements

ESSENTIAL FUNCTIONS:

  1. Effectively communicate community benefit and the Y’s impact for all stakeholders (e.g., staff, volunteers, members, community leaders) and assist with grant proposals and reports to help fund the Y’s programs and initiatives while creating positive working and collaborative relationships with other organizations, businesses, and governmental entities.
  2. Maintains an efficient and effective tracking and reporting system in Daxko that supports the financial and donor development efforts of the Y.
  3. Establishes and manages a comprehensive process for timely and accurate grant evaluation, quality compliance, project and program fulfillment.
  4. Reports the sources, uses, and management of donated funds to constituents in order to preserve and enhance confidence in the organization.
  5. Supports and implements an organized system of communications internally and externally to provide stewardship to donors regarding grant awards and the management and monitoring of the funders’ requirements for recognition.
  6. Provides support for development activities: fundraising campaigns, special events, communications and communication tools, and Technology.
  7. Process Cash Receipts and make daily deposits.
  8. Responsible for payroll and to pay appropriate vendors after payroll such as the Y retirement fund.
  9. Review and monitor monthly membership drafts.
  10. Process financial assistance applications and communicate to FA seekers on the process.
  11. Process account payables and set up new vendors in the system
  12. Maintain W-9 information for all vendors.
  13. Perform weekly check run and mail checks to vendors.
  14. Files appropriate documentation and maintains accounts payable files.
  15. Work with vendors and staff to resolve invoice discrepancies.
  16. Dispute merchant chargebacks.
  17. Assist CEO and Finance/Business Director with tasks as assigned.

 

LEADERSHIP COMPETENCIES:

  • Working knowledge of computerized accounting systems.
  • Experience with Microsoft products including: Word, Excel, Outlook, etc.
  • Strong comfort level with Basic Accounting knowledge.
  • Must be a detail oriented and organized individual.
  • Ability to work independently.
  • Collaboration.
