Primary Reporting Location: Abingdon Office

Position Purpose:

The Office Manager (OM) is responsible for assisting the Executive and Administrative Management teams in ensuring the efficient and effective daily operations of the LBE office environment. The OM specific responsibilities are as follows:

Interrelationships: Maintains open communication lines with facility staff, attending clinicians and physicians, patients, and families. Liaisons with community agencies, vendors, and payers of health services.

Specific Areas of Responsibilities to Position:

Office Management

  • Ensure adherence to/ further develop efficient office management systems and procedures.

  • Facilitate set-up for meetings both on-site and off-site.

  • Facilitate the set-up of food and supplies for meetings and training sessions.

  • Ensure the office is stocked with appropriate beverages, healthy snacks and supplies.

  • Ensure that office trash is taken out daily.

  • Open door greet and service as Hostess to visitors to the LBE office.

  • Complete specialized assignments and projects related to the maintenance, on-going development, and expansion of the program.

  • Facilitate and obtain LBE funded gift/ floral arrangements for Administrative Management birthdays, bereavements or illnesses.

Administrative Coordination

  • Provide clerical support to the Executive and the Administrative Management teams, which includes answering phones, taking detailed messages, scheduling, data entry, typing, faxing, making copies and filing.

  • Administer clerical support for the Executive and Administrative Management teams, which includes preparation and maintenance of correspondence, agendas, PowerPoint presentations, calendars, Excel spreadsheets and exclusively office-related duties.

  • Coordinate and schedule meetings, travel arrangements, activities and reservations for the Executive Management team.

  • Serve as the initial contact for and process all incoming referrals.

  • Create, organize and secure pertinent documents during referral and initiation of service stage of treatment. Notify Program Director of abnormal, dramatic changes within workflow.

  • Ensure adherence to procedures for systematic retention, protection, retrieval, transfer and disposal of office records.

  • Complete other administrative assignments as directed by the Executive management team.

  • Maintain primary responsibility for troubleshooting and resolving issues that result from system malfunctions.

  • Complete the deliverable process of the PRP Monthly Summaries in a timely manner.

Safety Management:

  • Responsible for coordination of the planning, organizing and implementation of the Safety/Risk Management Program.

  • Responsible for ensuring all work orders are completed on a timely basis.

  • Responsible for monitoring the effectiveness of the Safety/Risk Management Program.

  • Responsible for preparation on a minimum of a quarterly basis a Performance Improvement Report addressing safety/risk management issues and the effectiveness of the program.

  • Responsible for reviewing safety/risk management data and overseeing the investigation process.

  • Responsible for working towards prevention and mitigation claims.

  • Responsible for coordinating and assisting in the education process for new employees.

  • Responsible for presentation to the Performance Improvement Committee quality issues identified through the risk management process.

  • Responsible for participation in problem-solving to bring resolution to problems identified through safety/risk management activities.

  • Responsible for attending meetings of Performance Improvement to discuss safety/risk management activities.

  • Responsible for helping to develop and review high-risk policies. Supervise and maintain a program that evaluates the impact on patient care and safety of the buildings, grounds, occupants, and internal physical systems.

  • Responsible for supervising and maintaining an information collection and evaluation system.

  • Responsible for collecting and evaluating information regarding hazards and safety practices for use in the identification of safety management issues to be addressed by the Performance Improvement Team.

  • Responsible for supervising and maintaining an emergency preparedness program designed to manage the consequences of natural disasters or other emergencies that disrupt the organization’s ability to provide care and treatment.

  • Responsible for supervising and maintaining a hazardous materials program to ensure compliance.

  • Responsible for identifying and controlling hazardous materials and wastes.

  • Responsible for supervising and maintaining a life safety management program designed to protect patients, personnel, visitors and property from fire and the products of combustion and to provide for the safe use of all buildings and grounds.

  • Responsible for working with appropriate staff to implement recommendations by the Committee and monitor and evaluate the effectiveness of the changes.

  • Responsible for conducting orientation and safety education to address general safety management issues, safety plans, special hazards related to assigned duties, and changes in the safety management program.

  • Responsible for facilitating fire and disaster drills.

  • Also responsible for a minimum quarterly recording of the fire drill and a biannual recording of

 
Position Requirements
  • Preferred, minimum of High School Diploma.

  • 1 year of administrative experience that includes experience with developing and implementing administrative systems.

  • Excellent written and verbal skill are a requirement.

  • Similarity with Microsoft Office Suite.

  • CPR/First Aid Certification.

  • Strong writing and verbal skills.
