Position Contract Management Coordinator

Description

The Healthcare Association of New York State (HANYS) is seeking a seasoned Contract Management Coordinator to join our Legal team. Reporting to the General Counsel, this full-time position will coordinate all stages of the contracting and post-contracting process for all contracts, proposals, grants, renewals, and amendments from contract inception to termination and assume responsibility for administering Conga contract management system software.

This position will be based in our office in Rensselaer, NY with a hybrid work environment considered. The salary range is between $60,000 and $66,000 annually.

Key responsibilities include but are not limited to:

  • Coordinate all stages of the contracting and post-contracting review process for HANYS and its corporate subsidiaries.
  • Maintain HANYS' contract management system (Conga Contracts), including document management, version control, handling deadlines, renewals, amendments, terminations, and expirations.
  • Prepare initial drafts of standard agreements using independent judgment and HANYS' templates, including non-disclosure (confidentiality) agreements and master service agreements and related amendments, customizing agreements as needed.
  • Proofread, edit, and fact-check documents for accuracy and consistency.
  • Provides assistance to the Legal Department in resolving contract matters internally and with clients.
  • Contribute to cross-functional or departmental projects to improve processes relating to corporate and transactional matters.
  • Generate scheduled reports on contract activity, and specialized reports upon approved request.
  • Assist the Legal Department in the management of the External Business Partner Management program.
  • Exercise independent judgment with the ability to escalate issues to HANYS' attorneys when appropriate.

Qualifications:

  • 3-5 years' experience as a Contract Specialist or Paralegal with demonstrated skill in managing a high volume of contracts.
  • A bachelor's degree or an associate degree in paralegal studies is required. An equivalent combination of education and experience sufficient to satisfactorily perform the duties of the job may be substituted.
  • Strong proficiency with Conga Contracts management system or a comparable contract management software program.
  • Strong proficiency in general contractual legal terms and concepts required.
  • Must demonstrate the ability to handle sensitive information and maintain confidentiality.
  • Must demonstrate attention to details and strong problem-solving skills.
  • Must demonstrate excellent organizational skills, ability to handle multiple projects at once, and meet deadlines.
  • Strong proficiency in Microsoft Office required, especially Word and Excel.
  • Results oriented with excellent written or oral communication skills.
  • Proficiency in Westlaw and Pacer preferred.
