Description

Position Summary:

The Swim Lesson Coordinator plays a vital role in administering, providing, and sustaining all swim lesson programs at the Rose Bowl Aquatics Center. Reporting to the Swim Lessons Manager, the Coordinator is responsible for assisting with program set-up, execution, and community outreach.

All staff at the Rose Bowl Aquatics Center lead through a deep commitment to diversity, equity, and inclusion, both within the RBAC and with the communities that we serve.


General Responsibilities:


Administrative Duties:

  • Supervises, coordinates and participates in the day-to-day operations of all swim lesson programs (group lessons, private lessons, water safety program)
  • Assists with developing and maintaining program schedule, and coordinating facility space needs and requests
  • Handles customer complaints, provide appropriate solutions and alternatives
  • Identify and assess customers' needs to achieve satisfaction
  • Build sustainable relationships and trust with customer accounts through open and interactive communication
  • Conduct routine program assessments and provide recommendations to the Swim Lesson Manager or Swim Instructor Senior Trainer
  • Assist in evaluating and managing instructors performance
  • Assist in conducting in-service trainings and staff meetings
  • Assist with monitoring budget goals and striving to match or exceed revenue targets
  • Assist in proactively marketing and expanding swim lesson programs
  • Manage large amounts of incoming calls and emails
  • Generate sales leads to increase enrollment
  • Enroll and schedule new and existing students
  • Follow communication procedures, guidelines and policies, and lead by example
  • Develop and maintain a positive relationship with all students, patrons, staff and directors


Private Lesson Duties:

  • Act as a primary point of contact for parents, guardians and staff with regards to private lesson inquiries
  • Respond to all private lesson inquiries in a timely manner and maintain communication with participants
  • Complete knowledge of the private lesson packet, policies and procedures
  • Responsible for initial booking of clients; also responsible for handling ongoing bookings, cancellations and rescheduling
  • Responsible for inputting availability, coordinating instructors schedules and maintaining enough instructors to meet budget goals
  • Responsible for monitoring upcoming events and holidays to ensure that we are not scheduling private lessons when the center is closed
  • Responsible for pairing participants with instructors best suited to help them achieve their swimming goals


On Deck Duties:

  • Greet and assist customers
  • Daily attendance of swim instructors and students
  • Supervision of swim instructors
  • Perform as a swim instructor, if needed
  • Maintain a clean, fun and safe environment for all employees and patrons


Performs other duties as assigned.

 
Position Requirements

Qualifications:


Experience:

  • Experience in aquatics or customer service experience
  • Experience supervising others
  • Must be or become CPR certified within 30 days of being hired


Skills:

  • Hands-on approach with attention to detail, organization, reliability, and a get-it-done attitude
  • A collaborative team player with highly developed interpersonal and communication (written and verbal) skills who can relate to diverse internal and external audiences
  • Excellent time and project management skills
  • Self-motivated and highly experienced with multi-tasking
  • Strong skills using the Microsoft Suite of products (Excel, Word, and PowerPoint)


Knowledge:

  • Comfortable in transitional situations where there is rapid change and ambiguity
  • Takes pride in excellence and has the initiative to keep striving for improvement and learning while delegating and developing a strong supporting team


Abilities:

  • Demonstrated entrepreneurial approach to programming, balancing control with flexibility, and a willingness to innovate and change
  • Ability to work with individuals at all levels of the organization
  • Ability to command credibility and influence outcomes at the highest levels of an organization
  • Willing to “roll up sleeves”, operate at any level (from senior management to the lowest level of the organization)


Working Conditions:

Work is performed in a temperature-controlled office environment and outdoors with potentially inclement weather conditions. Little to no travel required. Position requires regular contact with the public. Must be able to work under pressure, exercise sound judgment, and adhere to deadlines.


Supervision Exercised:

This position supervises full-time and part-time hourly positions.


FLSA Status:

This classification is non-exempt from FLSA requirements.


Work Schedule:

  • Full Time; 12 months (Tues - Sat); Hourly
  • Must be able to accommodate a flexible work schedule that includes early mornings, late evenings, and weekends
  • Pay range: $20.00 - $23.00 per hour
