About the Department

In direct support of the Academy Museum’s mission, the Registration and Collections Management Department preserves and protects the museum’s collections following best practices. Department staff includes conservators, registrars, collection specialists, an institutional archivist, and records management.

 

About the Position

The Academy Museum of Motion Pictures is seeking an organized, enthusiastic intern to assist the Institutional Archivist in developing an institutional repository to collect materials documenting the museum’s history.

This internship will focus on aspects of museum archives including arrangement and description, digital preservation, and archival processing. This may include updating and creating database records, following digital preservation processes, and rehousing analog material.

The intern will gain skills in descriptive metadata, archival rehousing, digital preservation, and hands-on experience with the archives and collections held by the Academy Museum Archives, which include documents, ephemera, artifacts, building models, and born-digital material. Primary responsibilities will include processing and cataloging recent acquisitions. Tasks will include creating folder-level records and processing/preserving born-digital materials. The intern will gain experience in the proper handling of archival materials, in archival arrangement and description, and in digital preservation principles.

Other responsibilities may include assisting collections management staff with tasks related to museum collections and exhibitions. Training in material handling will be provided as needed.

Upon completion, the intern will understand documentation and preservation practices in the creation of an institutional archive at a young museum.

Responsibilities

  • The intern will assist in cataloging and processing archival collections by rehousing using archival materials, creating and updating database records, and generating digital image documentation as needed. The intern will also become familiar with levels of digital preservation and follow workflows for preserving and documenting born-digital materials.
  • Specific processing or cataloging projects will depend on the current needs and/or the intern's skills and interests but will focus on documentation of analog and/or digital materials recently acquired from internal museum departments for the institutional repository.
  • The intern will have visibility to areas of registration and collections management throughout the internship. In addition, the intern will learn about archival best practices for handling digital and paper materials.

 

Working Conditions

The internship will take place in the museum’s vault spaces, conservation lab, and collections offices located at the Academy’s Pickford Center for Motion Picture Studies in Hollywood and at the Academy Museum’s Saban building’s administrative area, in direct proximity to the supervisor and the rest of the department staff. The building and workspaces are wheelchair accessible. Equipment provided will include a dedicated workstation with desk space and access to a laptop, printer, and required office supplies.

 
Position Requirements

Qualifications

  • Graduate student seeking to complete an advanced degree in archival studies, library science, museum studies, public history, or related field.
  • Some previous museum or archival object handling experience and familiarity with collection databases preferred.

 

Physical Requirements

  • Must be able to remain in a stationary position for periods of more than 2 hours and move up to 25 lbs. Accessibility accommodations will be arranged as needed.

Compensation

This is an unpaid internship for Academic Credit.

Approximately 16 hours/week or as needed to meet the hours required by the candidate’s educational program.

Summer 2024, internship to begin the week of July 1st and run through mid-September.
