Overview

As a member of the Archives and Collections team, the Registrar is responsible for the care and documentation of the Motown Museum’s collections. This work includes processing new acquisitions, including condition reporting, accessioning, and legal paperwork; handling and movement of artifacts; managing incoming and outgoing loans; inventorying, cataloging, and documenting collection activities in the collection management system; maintaining the physical spaces holding collection material; rehousing ensuring long-term preservation of collections; supervising student interns and volunteers as assigned; and participating in regularly scheduled shifts in the reading room. This role works closely with various team members in the Collections and Curatorial departments. The Registrar reports to the Director of Archives and Collections.

Essential Functions

  • Process new acquisitions, including legal documentation, shipping, condition reporting, and accessioning.
  • Monitor collection storage facilities, guided by industry standards, best practices, and Museum policies.
  • Assist with the implementation of and data migration into a new collection management system (Qi).
  • Catalog collection objects, maintain updated records, track locations, and document collection activities in the collection management system.
  • Prioritize and implement preservation tasks and outsource conservation needs as necessary.
  • Manage environmental monitoring and pest management programs with the Facilities department's help.
  • Contribute to the access of collections through reading room coverage.
  • Maintain supplies pertaining to the management of collections.
  • Develop and contribute to Museum policies and procedures to ensure efficient workflows and alignment with best practices and industry standards.
  • Work with the Collections and Curatorial departments to manage artifact rotations in exhibitions.
  • May provide oversight to staff, student interns and volunteers as assigned.

Work Environment

Standard office work environment shared with co-workers, with related phone, computer, and printer noise. Position requires ability to operate a computer and other office productivity machinery, software, and systems. The person in this position occasionally communicates with public membership and staff who have inquiries and must be able to exchange accurate information in these situations. May occasionally lift to 40 pounds. Must have manual dexterity to handle artifacts.

Demands/Strength

While performing the duties of this position, the employee is regularly required to talk, hear, and use repetitive motions. The employee is frequently required to stand, walk, sit, lift and carry boxes up to 40 lbs., climb ladders, balance, stoop, kneel, crouch, crawl, reach, handle, grasp, and use eye/hand/foot coordination. Occasionally, the position is required to push, pull, and feel. The position requires medium work.

Environmental Conditions

Moderate noise and occasional temperature changes.

Position Requirements

Competencies

  • Knowledge of museum best practices and industry standards for the care and management of collections.
  • Demonstrated experience with handling, rehousing, and transporting objects.
  • Demonstrated experience working in museum collection management or similar role.
  • Proficiency working with museum collection management software.
  • Proficiency with Microsoft Office and Teams.
  • High attention to detail.
  • Ability to multitask, manage multiple concurrent projects, and work under pressure with flexibility and adaptability.

Travel

Some travel. Must have a valid driver’s license and proof of insurance.

Education/Experience

  • Bachelor’s degree required.
  • Graduate degree in museum studies, library and information science, or related field preferred.
  • Two years of experience working with collections in a museum or similar setting.
  • Demonstrated experience in collection management and preservation best practices and standards.
  • Experience with condition reporting, environmental monitoring and/or pest management programs preferred.
  • Experience using collection management systems and related software.
  • Experience assisting with or coordinating exhibition activities preferred.
  • Supervisory experience preferred.

Additional Eligibility Qualifications

Must have a computer that meets Adobe Creative Cloud requirements.
