Description

Primary Purpose:

The Leadership Giving Administrative Assistant will play a key role in supporting vital aspects of the Leadership Giving Team by coordinating the acknowledgments and correspondence with Houston SPCA’s donors and prospects, including but not limited to Recognition Programs, Events, Corporations, Foundations, Capital Campaign, Major Giving, and Planned Giving.

Essential Functions of the Role:

  • Maintain the integrity of data and record all correspondence according to best practices.
  • Support all Planned Giving efforts by scanning, recording, and drafting appropriate correspondence as directed by Team.
  • Respond to all email inquiries or mail information as appropriate. Lead correspondence within the donor support email.
  • Draft acknowledgments and correspondence for “special gifts” as directed by Team, i.e., major donors, personal friends, special gifts-in-kind, and gifts that go above and beyond.
  • Participate in special projects as directed by Team.
  • Provide database support for Team, which may include but is not limited to reconciling gifts, assisting in updating donor files in Raiser’s Edge (database of record) or Every Action (digital marketing database), or similar projects.
  • Train and understand key aspects of Raiser’s Edge and Every Action to assist with data pulls for events, general queries, and other needs.
  • Assist with the Recognition Program: from brick and plaque ordering, to maintaining the opportunity list, to sending “In Memory/Honor of” cards and letters.
  • Manage details and tasks for Houston SPCA events as required.
  • In all areas of responsibility - continuously update the primary database of record, Raiser’s Edge, with communications, processing address changes, and correspondence preferences.
  • Schedule VIP tours and Group volunteer events and notify appropriate staff.
  • Provide requests on time to the Database and Donor Services Administrator.
  • Represent the Houston SPCA by providing excellent customer service and focus.
  • Protect all confidential information, including donors, clients, animals, and internal communications.
  • Perform additional responsibilities as assigned.
 
Position Requirements
  • Bachelor’s degree or equivalent preferred.
  • 3+ years of administrative experience required.
  • Demonstrates excellence in organizational skills and attention to detail, ability to manage multiple projects, and meet deadlines.
  • Demonstrate an ability and eagerness to learn, be resourceful and proactive, adapt to changes, and be able to work independently with minimal supervision.
  • Ability to establish and maintain a productive working relationship with internal and external stakeholders and work well in a team environment.
  • Must professionally represent the Houston SPCA in all situations with the public, donors, volunteers, and staff.
  • Excellent written, proofreading, oral, interpersonal, and presentation skills.
  • Passion for the mission of the Houston SPCA.
