Description

JOB PURPOSE:

The Case Management Administrative Assistant provides administrative support to the Case Management Department through various administrative functions. This position ensures the most efficient administrative procedures for projects and works with clients and customers daily. Administrative Assistant to assist in managing all administrative support related to Case Management. The Case Management Administrative Assistant will provide record keeping, and oversight, and assist with Case Management team with retrieving Proof of Address Information.

 
Position Requirements

ESSENTIAL JOB RESPONSIBILITIES:

  • Manages daily assignments and ensures deadlines are met and work is completed correctly.
  • Prepares/modifies documents including correspondence, reports, drafts, memos, and emails;
  • Respond to emails requesting documentation requirements that are to be mailed within 24 hours of the request for information.
  • Retrieves web proof of address information for clients, forwards it to the appropriate Program Directors, and log into tracking database.
  • Ensure to submit at least one form of documentation verifying client's current address.
  • Track and submit receipts for documents purchased by vendors: FedEx, UPS, USPS.
  • Manage credit card and related expenditures, invoices, receipts, and expense reports;
  • Submit office related receipts including but not limited to supplies, mail, etc. Conduct research as requested including but not limited to constituents and topics as assigned;
  • Organize and maintain documents in a paper or electronic filing system(s);
  • Shipping documents or marketing materials as necessary.
  • Handle all details associated with travel arrangements including flights, local transportation and accommodations as needed for staff;
  • Confirm travel-related appointments and all other travel details as needed.
  • Other duties as assigned.

ESSENTIAL QUALIFICATIONS:

EDUCATION: A High School Degree or GED required. Associate in business administration or related field preferred.

EXPERIENCE: Proven experience in providing administrative assistance. In-depth understanding of administrative procedures. Proficient in MS Office (Word, PowerPoint, Excel). An analytical mind with problem-solving skills. Excellent organizational and multitasking abilities.

ATTENDANCE: Must maintain regular and acceptable attendance at such level as is determined in the employer’s sole discretion.

LICENSES: Driver’s License with clear record.

VEHICLE: Must have daily use of a vehicle without prior notice.

OTHER: Must be available and willing to travel to various locations including Pecos Children’s Center with such frequency as the business need dictates. Must be 21 years or older. Operational needs may require occasional evenings or weekend supervision. Must not pose a direct threat or significant risk of substantial harm to the safety or health of himself/herself or others.
