The Position:
The Human Resources Assistant performs a wide range of functions of a highly confidential nature, helping organize, coordinate, and carry out all human resource and payroll related projects and processes for FSA. The HR Assistant also helps maintain positive employee relations and works to ensure employee satisfaction through education of HR policies and by fostering a positive work environment. The HR Assistant should be highly organized, detail oriented, and also personable and approachable. The HR Assistant works closely with the HR Specialists to fulfill a variety of necessary HR tasks. This position reports to the HR Manager.

Sample Job Duties and Responsibilities

  1. Maintain HR filing system and the facilitation of proper purging of files according to the records retention policy.
  2. Regularly review, update, and maintain timekeeping system (Novatime) and HRIS (Paylocity).
  3. Check the HR email inbox on a daily basis and forward/respond to inquiries as necessary.
  4. Coordinate with HR Specialist to develop and maintain recruitment strategies as necessary, including research and networking efforts.
    1. Responsible for posting job ads in Applicant Tracking System (ATS) and to any other appropriate platforms.
    2. Assist hiring managers with conducting any needed reference checks.
  5. Coordinate with HR Specialist on administration of Workers’ Compensation claims.
  6. Collect and respond to any unemployment requests, Paid Family Leave requests, and other various EDD requests as needed.
  7. Coordinates tracking of completion of annual performance reviews.
  8. Produce and submit monthly financial credit card reports for human resources related expenditures.
  9. Coordinate with HR Specialists/HR Manager around completion of annual/regular HR-related projects.
  10. Participate in the CARES Committee, which provides team-building and morale-building opportunities to improve work relationships and contribute to a healthy and safe work environment.
 
Position Requirements

Employment Standards:

  1. Bachelor’s Degree strongly preferred. A combination of education and experience considered in lieu of degree.
  2. Experience in a social service or social service agency desirable.
  3. Must be highly skilled in writing, editing, proofreading, word processing, and database management.
  4. Must demonstrate attention to detail and strong organizational skills.
  5. Excellent analytical, computer, written, and verbal communication skills required.
  6. A professional attitude, good judgement, and the ability to work as part of a team are required.
  7. The proven ability to handle sensitive and confidential information is required.
  8. Experience working with quantitative data preferred.
  9. Bilingual (English/Spanish) preferred.
  10. Valid California Driver License, vehicle insurance, and reliable transportation required for travel to offices.

Classification, Hours, and Pay Rate:

  • This position is full-time (40 hours/week), non-exempt, with benefits, including: medical, dental, vision, life insurance, flexible spending accounts and 403(b) retirement plan. Generous vacation, holiday, and sick leave also offered.
  • Pay range is $23.50 if English-speaking only; $24.50 if bilingual in English/Spanish.
