Receptionist / Admin Assistant

General Description of duties: The Receptionist/Administrative Assistant is to be present from 7:30am-5:00pm, Monday through Thursday (excluding lunch and breaks) to perform receptionist duties, receive mail and distribute mail as specified, distribute, monitor, and reconcile grocery, office supply, and gas cards, receive, and distribute faxes, and order, receive and check out unit, and office supplies. 


EXAMPLES OF JOB DUTIES:

  1. Answer and direct incoming phone calls.
  2. Greet visitors in a professional and courteous manner, ensuring assistance provided as needed.
  3. Daily pickup and distribution of incoming and outgoing mail as per agency guidelines.
  4. Receive and record incoming cash/checks and maintain security of funds until provided to Bookkeeper for deposit.
  5. Monitor Accounting Email, process accounts payable for approval, and mail per agency guidelines. 
  6. Receive, distribute, and send faxes as needed. Document transactions as needed for item specific protocols.
  7. Maintain all grocery, office, and fuel cards, and petty cash funds. Document of all transactions and related review of receipts, verification of balances, monthly reconciliation, and refill as needed.
  8. Coordinate vehicle maintenance, service, and records. Ensure that all work performed is authorized, and vehicle documentation is maintained in compliance with agency guidelines.  
  9. Ensure coffee stations, bathrooms, conference, and general office areas are neat and clean on an ongoing basis.
  10. Process office and unit supply orders, maintain inventory, verify, and track subsequent distribution. 
  11. Maintain and order monthly RTD passes for individuals in service. Distribute, document, and reconcile inventory monthly.
  12. Coordinate with janitorial contractor to ensure proper cleaning of facilities, snow removal contractor to ensure safe access to facility for all employees and visitors, and waste removal company to ensure regular pickup/removal of garbage and recycled materials.
  13. Maintain key inventory for office and units, coordinate key issuance, and maintain related documentation. 
  14. Backup to Repairs Coordinator. 
  15. Be familiar with, create, maintain, and update form supplies. 
  16. Data entry and maintenance of information, mailing lists, periodic mailers. 
  17. Correspondence, memorandums, and filing as needed.  
  18. Other duties as assigned.

Agency Related Duties:

  1. Attend all regular and as scheduled management meetings, in-service training classes, conferences, and other meetings as assigned meeting.
  2. As needed, act as liaison between staff, outside agencies, and families or advocates.
  3. Assisting as needed with follow-up on day-to-day issues, or as assigned.
  4. Other duties as assigned.

Expectations for Completion of Job Duties:

  1. Display professional appearance and behavior, interacting with other staff, individuals in service, parents and service providers in a cooperative and friendly manner as observed by supervisor.
  2. Provide positive role model always at home and in the community, avoiding use of profanity or derogatory slang, arriving to work in  proper attire, modeling good problem solving skills and social interactions.
  3. Perform job duties with positive attitude, responding to peak work period without loss of quality, accuracy, and thoroughness.
  4. Uphold rights of the individuals served, by following client rights guidelines and agency abuse, neglect, and mistreatment policy daily. 
  5. Punctual and dependable at reporting to work (i.e., absenteeism and lateness does not result in adverse effects on operation of programs, individuals or families served.
 
Position Requirements

GENERAL REQUIREMENTS: High School Diploma or GED. Previous experience in related field and/or position preferred. Highly organized, attention to detail, ability to prioritize tasks/projects, proficient with Microsoft Office software, and good business communication skills, both verbal and written. Must be able to prioritize job duties, and work independently, as well as the ability to participate and contribute as a team member. Reliable vehicle and valid Colorado driver’s license and insurance required.

Supervision Received: Works directly under supervision of the COO/CFO, receiving instructions and guidelines from same. Has freedom to plan and organize work assignments within guidelines of program structure. President/CEO available to resolve unusual work problems.


Position Category: This position is non-exempt as defined by the Fair Labor Standards Act
(FLSA).
