Senior Manager, Exhibition Planning

The Academy Museum of Motion Pictures furthers the understanding, celebration, and preservation of cinema through inclusive and accessible exhibitions, screenings, programs, initiatives, and collections. Welcoming visitors from Los Angeles and around the world, the Museum works in active partnership with motion picture artists and specialists, scholars, staff, and diverse communities to contextualize and challenge dominant narratives around cinema, inspiring discourse, connection, joy, and discovery.

Reporting to the EVP, Exhibitions, the Senior Manager, Exhibition Planning will support the administration of the Museum's exhibitions. You will design workflows and manage all aspects of planning, budgeting, and execution for several exhibitions concurrently. You will create and maintain planning procedures and advise on best practices. You will also work closely with various museum departments and colleagues all while successfully contributing to the Museum’s mission.

You Will:

  • Act as the central point of contact for exhibitions from inception to completion, ensuring that project information is gathered and communicated accordingly.
  • Develop and manage schedules, timelines, and next-step lists for each of the galleries, while monitoring delivery dates and deadlines from key stakeholders.
  • Communicate with all stakeholders in a timely and effective manner, documenting progress of all exhibition phases included in exhibition timelines for design, object and media checklists, conservation, digital strategy, image clearance, media production, didactics, construction, fabrication, lighting, and installation.
  • Work closely with internal stakeholders to build fiscal year budgets, forecast expense projections, create initial budget, and scope proposals for each exhibition. In addition, monitor actuals vs projected costs to ensure expenses stay within budget.
  • Review, approve, process invoices, provide account codes, and track expenses.
  • Draft, review, and manage contracts for all exhibition contractors and vendors, and ensure obligations are met suitably and timely.
  • Work with the Advancement team on exhibition related grant tracking and reconciliation.
  • Identify challenges and regularly update the SVP, Exhibition Design and Production on solutions and exhibition progress.
  • Assist in developing, implementing, and refining cross-departmental processes and procedures for exhibition planning and scheduling.
  • Support the selection and implementation of software tools to aid in exhibition project management and execution. Develops innovative data-driven approaches to exhibition planning.
  • Facilitate development of tour strategy, proposals, and budget in consultation with the curatorial team, Collections and Loans, and Finance.
  • Act as liaison with partner institutions, including development and negotiation of tour terms, responsibilities, and agreements.

 

 
Position Requirements

You Have:

  • A bachelor’s degree in film, art history, museum studies, or related field. A master’s degree preferred.
  • 3+ years of experience providing administrative and project management support for exhibition planning.
  • Knowledge of Microsoft Office, including Word, Outlook, Excel, PowerPoint, Adobe Acrobat. Familiarity with Airtable, Adobe Photoshop, and Adobe InDesign preferred.
  • Knowledge of museum practices.
  • Knowledge of current guidelines and practices in exhibition management.
  • A team player attitude who possesses excellent interpersonal, organizational, critical thinking, communication, and office skills.
  • Demonstrated ability to work independently and with others, maintain effective working relationships, and communicate problems and solutions clearly to supervisors.
  • Ability to multi-task, address complex issues, coordinate high-volume work, and work in a fast-paced environment, while maintaining a high level of accuracy and attention to detail.

The expected base salary range for this role is $83,000 to $85,000. The actual base pay offered will be determined by factors such as experience, skills, training, location, certifications, education, and other factors permitted by law. Decisions will be made on a case-by-case basis.
