POSITION TITLE: Intake Coordinator / Receptionist

CGS Child/Adolescent Outpatient Mental Health Clinic

DEPARTMENT: Family Support Services

REPORTS TO: Administrative Director

OVERVIEW OF POSITION:

The Intake Coordinator / Receptionist candidate must have the ability to relate and respond to the patient population, work in a fast-paced environment and display a high level of professionalism, work with a team as well as work independently. The Intake Coordinator / Receptionist must be able to take direction, be computer literate with data entry experience, and possess effective verbal and written communication skills.

Accurately entering and maintaining electronic documentation through computerized record keeping (EMR system), along with manual documentation as required for operational efficiency and compliance. Assist with client setup with funding sources for treatment. Professionally handling all incoming calls and pre-screen / follow-up with clients who wish to enter the program or require crisis intervention follow-up.

DUTIES AND RESPONSIBILITIES:

  • Coordinates the process for referrals in accordance with established procedures.
  • Collects patient demographic and insurance information for services in an efficient, customer-oriented manner.
  • Responds to internal and external email inquiries in a timely and customer-oriented manner.
  • Collects service eligibility forms and other documentation (e.g., physical assessment, psychiatric evaluation form, psychosocial form).
  • Works in collaboration with clinical and support staff to ensure intake applications are being process in accordance with the established procedures.
  • Works in collaboration with the Administrative Director to manage the relationship with referral sources.
  • Greets all consumers in a professional and customer-oriented manner; and keeps the reception area welcoming.
  • Answers to phone inquiries or takes messages as needed.
  • Assists with filing, copying, faxing, distribution of written material as needed.
  • Completes appropriate data entry to provide support to administration as assigned.
  • Assists with new patient registration, patient check in and out in myEvolv.
  • Assists with manual reminder calls as needed.
  • Weekend and evening hour requirements as applicable.
  • Perform other job-related tasks and duties as assigned.

QUALIFICATIONS:

  • High school diploma or equivalent; Bachelor's degree preferred.
  • Computer skills - including strong skills in Microsoft Office products and the ability to learn other computer applications such as MyEvolv electronic record keeping.
  • Must be personable and able to interact in a pleasant manner and appropriately with consumers and clinic personnel.
  • Outstanding writing and communication skills.
  • Proficiency in Spanish Required.
  • Full Time: Monday - Friday 12:00 PM to 8:00 PM
