General Description of Duties: The Bookkeeper is responsible for maintaining financial records of the organization through accurate posting, allocation, and review of transactions, Accounts Payable, Accounts Receivable, bi-weekly payroll, collections, project budgets, reconciliations, analysis, and reporting. This position will also monitor and maintain vendor files, backup Medicaid Benefits Coordinator, and other work as assigned.

EXAMPLES OF JOB DUTIES:

1. Accounts payable – input vendor bills, process payments, create checks, process 1099’s, communicate with vendors, and maintain payment and vendor files to ensure in compliance with agency guidelines.

2. Accounts receivable – create invoices for services and room & board, prepare deposits, post and track payments and related outstanding balances, collection follow-up.

3. Review of Medicaid billing, input into accounting software and periodic audit.

4. Input credit card charges and related reconciliation.

5. Reconciliation and posting of grocery cards, fuel cards, office cards, and petty cash.

6. Accounting for individuals in service related to benefits, and expenses.

7. Bi-weekly payroll and all related tasks (timesheet approval based on individual budgets and wage and hour requirements, expense reimbursement, management of benefit deductions, assist with eligibility tracking/enrollment, and input into accounting software, assist with HRIS system).

8. Project/grant budget preparation.

9. Data entry, financial statements, and conservatorship reporting.

10. Assist with annual Financial Statement and 401k audit.

11. Backup Medicaid Benefits Coordinator and HR as needed.

12. Internal audit function.

13. Other duties and projects as assigned.

14. Ability to manage sensitive and confidential information securely, and within company guidelines.

2. Punctual and dependable at reporting to work.

3. Perform job duties with a positive attitude, responding to peak work periods without loss of quality, accuracy, and thoroughness.

4. Uphold individual rights by following individual rights and confidentiality guidelines and agency abuse, neglect, mistreatment, and exploitation policy daily.

5. Provide a positive role model to staff and individuals, avoiding use of profanity or derogatory slang, arriving to work in proper attire, modeling good problem solving and social interactions.

6. Attend regular and as scheduled meetings and training as assigned.

 
Position Requirements

GENERAL REQUIREMENTS: Bachelor’s degree and/or experience in related field preferred. Strong accounting experience, excellent organizational and time management skills, proficient with Microsoft Office software, and good business communication skills, both verbal and written. Detail oriented, attention to detail and high level of accuracy in related work. Must be able to prioritize job duties and meet deadlines. Ability to work independently, as well as the ability to participate and contribute as a team member. Valid Colorado driver’s license and insurance, reliable transportation, and ability to pass a background check.

Supervision Received: Works directly under supervision of the COO/CFO, receiving instructions, and general guidance from the same. Has the freedom to plan and organize work assignments within guidelines of program structure. CEO available to resolve unusual work problems.

Position Description: The Bookkeeper is a non-exempt position as defined by the Fair Labor Standards Act (FLSA).
