General Summary:

Under the supervision of the In-Home Services Manager, and Nutrition Manager, performs tasks in support of all service departments. The Program Assistant is responsible for the effective organization and flow of In-Home Services and Nutrition services, supporting managers in these departments to ensure that senior citizens of St. Joseph County receive services that help COA achieve its mission. Percentage of hours per department will be adjusted as needed.

Essential Functions:

Nutrition Assistant Essential Functions (approximately 4 hours per day)

  1. Obtains information from Meals on Wheels route sheets and other sources to calculate the number of ordered meals for the home bound clients and congregate clients and transmits information to the kitchen and to the Nutrition Manager.

  1. Assists in ensuring that all home bound and congregate clients are served lunch daily. Will be in contact with route drivers throughout the day, receiving route feedback continuously

  1. Assists the Nutrition Manager in calling in personnel to cover employee absences.

  1. Generates and maintains Meals on Wheels route sheets for home delivered meal drivers using mapping program and calculates anticipated mileage and delivery time. Documents changes as they occur to make sure that routes are run with maximum efficiency and cost savings. Maintains all clients' meals schedules.

  1. Assists in preparing reports related to nutrition program activities.

  1. Reviews and makes necessary changes in the timekeeping system for Drivers.

  1. Communicates with Home Delivered Meal Drivers throughout the day concerning clients and meal cancellations.

  1. Provides secretarial and clerical support to Nutrition Manager, which consists of correspondence and other duties as assigned.

Assistant Cook Essential Functions (approximately 3 hours per day)

  1. Prepares baked goods, side dishes, and other menu items following sanitation and nutritional guidelines.

  1. Plans cooking schedules. Oversees and performs food preparation activities such as washing and paring vegetables and fruits and prepping other foodstuffs and mixing materials.

  1. Assists in the portioning of food for distribution. Assists in the set up for meals. Assists in the serving of congregate meals.

  1. Cleans the meal preparation area, cooking utensils, dishes, appliances and food storage areas.

  1. Assists in the stocking of food items on shelves and in the coolers and freezers.

  1. Utilizes a variety of kitchen utensils and equipment in the preparation of meals. Reports repairs and maintenance needs as necessary to the Nutrition Director.

  1. Substitutes for the Chef, including preparing main courses and all other menu items, ensuring appropriate timing of food preparation, ensuring sanitary procedures, and overseeing kitchen operations.

  1. Orders food to meet menu plans and required quantities. Receives and stocks ordered foods.

  1. Substitutes for meal route Drivers as needed.

In Home Services Assistant Essential Functions (approximately 1 hour per day)

  1. Assists the In-Home Services Manager in calling in personnel to cover employee absences. Responsible for scheduling In-Home Aides for appropriate caseloads for budgeted hours.

  1. Assigns In-Home Aides to new clients based on proximity to their home to minimize travel expense and maximize efficiency. Reassigns aides at the request of a client.

  1. Maintains In-Home Aide work schedule, including hours available and ensures that availability is current and up to date on a monthly basis.

  1. Assists in preparing reports related to In Home program activities.

  1. Reviews and makes necessary changes in the timekeeping system for aides and chore worker.

  1. Provides secretarial and clerical support to In-Home Manager, which consists of correspondence and other duties as assigned.

  1. Performs other duties as required.
 
Position Requirements

Education: High School graduation or equivalent.


Experience: One year of prior office and Microsoft Office experience. One year in an institutional environment providing experience with food preparation and service, kitchen and food safety, and sanitation.


Other Requirements: Valid Michigan Driver’s license.

  • Ability to move and inspect computer terminals, printers, telephones, and related equipment.

  • Ability to travel throughout the county to access client’s homes.
  • Ability to perform work of a home delivered meals driver.
  • Ability to lift and move trays of food or cartons of food weighing up to 40 lbs.
  • Reaching for food supplies in storage, cooler and freezer.
  • Reaching, bending, and stooping to inspect food items and food service equipment.
  • Bending to place and remove pans of food from oven and to clean equipment.
  • Prolonged periods of standing and walking.


Working Conditions:

  • Works in senior center and office conditions.
  • Works with oven, freezer, blenders, slicers, and other kitchen equipment.
  • Exposure to hot kitchen, hot stove, hot trays of food, hot water and steam.
  • Works with sharp knives and other utensils.
  • Driving in all types of weather conditions to deliver meals to client homes throughout the county.
  • Exposure to infectious and/or communicable diseases in the client homes.
  • Exposure to potentially hazardous conditions in the home including icy walks and household pets.
