Hybrid Role - in office 1-2 days per week. Office located in Playa Vista, CA (just North of LAX)

The Administrative Sales Coordinator will directly support our Chief Sales Officer and Sales department leaders with operational functions such as monthly reporting, contracts, financial data, meetings, and approvals.


  • Assemble and prepare documents, spreadsheets, and presentation materials for department meetings, including data from VinFast Vietnam headquarters to help US team prepare weekly status meetings with Global leaders
  • Prepare, process, and track all Sales Department’s expenses, expense reports, and invoices, including quarterly budget data when needed
  • Input and track SAP data by creating and submitting Purchase Request (PR)/Purchase Order (PO)
  • Locate and organize legal contracts as the single point of contact for the department
  • Review and update organization charts
  • Maintain electronic and physical files, document storage, mapping program, and general office organization
  • Provide administrative assistance, such as drafting email or memos, or preparing communication on Chief Sales Officer’s behalf
  • Schedule various internal and external meetings as required
  • Participate in all department meetings and prepare meeting agendas
  • Coordinate travel agendas and arrangements
  • Support Sales team by performing tasks related to the organization and any other tasks assigned on an as-needed basis
Position Requirements


  • Bachelor’s Degree preferred, or equivalent combination of education and experience.
  • 1 year of administrative work experience
  • Proficient communicator including both verbal and written skills
  • Ability to cultivate good relationship along with time management and follow through
  • Able to work independently in a fast-paced environment
  • Positive attitude when encountering challenges
  • High level of proficiency in business productivity tools such as Microsoft Word, PowerPoint, Excel, SharePoint, and SAP (or similar)
  • Schedule/calendar management experience
  • MS Visio experience a plus
  • Attention to detail and well organized
