Wyandot BHN is seeking a dedicated Executive Administrative Assistant to join our team! The Executive Administrative Assistant will primarily provide support for the Executive Director, with minimal supervision, by performing a broad variety of duties with a high degree of accuracy. Some of the confidential nature that may be required includes but is not limited to; answering phones, advanced computer functions, typing, electronic filing, copying, distributing mail, proofreading, interacting with community, managing an extremely active calendar of appointments, completing expense reports, composing & preparing correspondence, organizing & preparing reports, and scheduling meetings. Hours may include occasional events and meetings after office hours.

Essential Job Duties:

  • Maintain & manage calendars, including staff training, scheduling for Executive Director and team leaders, time off processing, filing, preparation of correspondence and support of department staff as appropriate.
  • Schedules appointments, meetings, rooms, equipment, and catering. Confirms attendance and makes appropriate arrangements prior to meeting/event. Utilize judgment and be able to set priorities, organize appointments/meetings and keep leadership informed.
  • Performs administrative duties at meetings as assigned. Prepares agendas, distributes packets, records and transcribes minutes, secures necessary signatures for plans & documents, and maintains permanent minute books.
  • Create and maintain databases, spreadsheets, letters/memos and presentations.
  • Arrange complex and detailed travel plans, including seminar reservations, hotel accommodations, flight arrangements, car rental, itineraries, agendas, etc. Completes check request and travel reimbursement forms as needed.
  • Assist service leader in preparing presentations and special projects as needed, but not limited to research, preparation of reports/overheads etc.
  • Provides administrative support to the executive director and other members of the executive committee. Individual will serve as administrative liaison to internal and external customers while representing the company in a professional and courteous manner.
  • Assist in purchasing and maintaining inventory of current office equipment & supplies.
 
Position Requirements

Job Requirements:

  • Advanced computer proficiency and the ability to effectively use Microsoft Word, Excel, Outlook, and PowerPoint.
  • Ability to write letters, memos and reports that command attention and achieve results, plus solid business writing skills: grammar, punctuation, proofreading.
  • Demonstrated experience with supporting one or more executives with a busy calendar, completing complex reports and managing workflow.
  • Excellent organization, follow through and customer service skills required.
  • Ability to work and make decisions independently, guided by departmental policies, laws, and theories for the purpose of making department wide operational decisions.
  • Associates degree and a minimum of two years job related experience required.
  • A minimum of five years high level administrative support experience preferred.
