As an Administrative Assistant, you will be responsible for performing a wide range of administrative and office support activities for the site to ensure efficient operation and process workflows are achieved.
Responsibilities:
- Answer, screen and transfer inbound phone calls
- Receive and direct visitors and clients
- General clerical duties including photocopying, fax and mailing
- Maintain electronic and hard copy filing system
- Prepare and modify documents including correspondence, report, drafts, memos and emails
- Schedule and coordinate meetings, appointments and travel arrangements for leadership
- Prepare agendas and schedules for meetings
- Record, compile, transcribe and distribute meeting minutes
- Open, sort and distribute incoming correspondence
- Maintain office supply inventories
- Work closely with Finance to manage site purchase request and invoice process
- Coordinate maintenance of office equipment
- Coordinate and maintain records for staff, telephones, parking, etc.
- Other similar and/or related duties as assigned

 
Position Requirements
  • Minimum 1year experience in administrative assistant role.
  • Minimum 1year experience with purchasing, finance, and reimbursement processing.
  • High school diploma, Associates degree preferred.
  • Strong communication skills (written and verbal), planning, organizational, prioritization, problem solving and attention to detail skillset
  • Knowledge of clerical and administrative procedures and systems such as filing and record keeping
  • Proficiency in Microsoft Office Suite Program (Word, Excel, PowerPoint and Outlook)
  • Strong ability to maintain a positive attitude through high stress/high demand situations.
