Description

Summary of Responsibilities: This position serves as the administrative assistant for the Bible and Music Departments by providing customer and student assistance, office and building management, administrative and administrative support to the Academic program with emphasis in Biblical Studies, Philosophy and Music. This position supports and reports to both the Department Chairs of Bible and Music. The Music Department Chair is identified as the primary supervisor.

Part-Time/No Summer: This position will work about 25 hours a week from August 16th through May 15th with the specific daily schedule determined in consultation with the supervisors. It is anticipated that about 75% of the hours will support Bible and 25% Music.

 

Essential Responsibilities: (These essential responsibilities are those the individual must be able to perform unaided or with the assistance of reasonable accommodation.)

  1. Customer/Student Assistance:
    1. Serves as a central point of contact for the departments, students, and external constituencies in the resolution of a variety of daily matters. Provides support for the departments by answering telephones and relaying messages, handling follow-up communications as needed, assisting with and resolving inquiries of students and visitors, providing information and directions, resolving problems, and reviewing and distributing incoming and outgoing mail.
    2. Assists students in setting up meetings with faculty members as requested.
    3. Assists students with registration issues.
  2. Faculty Support:
    1. Handles a wide variety of miscellaneous assignments for faculty in order to facilitate their teaching, to include: the scheduling of rooms and AV equipment for classes and events; requesting keys, ordering and distribution of textbooks; duplicating materials used in support of teaching, research, and/or committee work; typing, proofreading, editing, and preparation of class materials; and the providing of assistance in the collection and distribution of student assignments as requested.
    2. Maintains faculty schedules as requested and schedules meetings.
    3. Proctors exams and administers make-up examinations to students as requested.
    4. As requested, maintains content for departmental courses in the Learning Management System (Blackboard or eLearning). This includes uploading PowerPoints, audio recordings, and course materials weekly, and sending out class emails and announcements.
    5. Handles travel arrangements, transportation and lodging for faculty and student groups as needed.
    6. Handles incoming/outgoing duplicating and mail services.
    7. Attends department meetings as requested.
    8. Assists faculty as requested with individual projects involving proofreading, editing, and preparing materials for publication.
    9. Provides administrative assistance with faculty and/or staff searches, as appropriate, to include organizing employment applications, preparing applicant acknowledgements and interview documents, coordinating interview logistics and making travel arrangements.
    10. Provides guidance and orientation support to new faculty members and helps with the set-up of accounts and identification of campus resources.
    11. Coordinates communication/orientation for all part-time Faculty:
      1. Keeps in touch with all full and adjunct faculties regarding departmental business.
      2. Maintains student schedule and contact information for the faculty.
      3. Provides basic guidance and orientation support to new faculty members by assisting them in the set-up of accounts and the identification of campus resources.
  3. Record Keeping
    1. Establishes, updates, and maintains department’s files, inventories, and records; implements and maintains data management systems, as required, to include the maintenance of Advisee Records and other departmental information.
    2. Handles collection and organization of documents for academic assessment on an ongoing basis and more extensively when requires doing so for accreditation.
    3. Updates records of alumni employment as requested.
  4. Office/Building Management:
    1. Maintains academic and facility use scheduling calendars. Works to resolve staffing, scheduling, and room assignment issues.
    2. Maintains tidiness along with the necessary supplies in the building’s common areas and communicates with Physical Plant about needs that arise for Departmental spaces.
    3. Orders and maintains office supplies.
  5. Budget Support:
    1. Manages petty cash fund with accurate record-keeping.
    2. Assists faculty with check requests and the reimbursement of expenses.
    3. Monitors purchases and expenses to include but not limited to books, syllabi, course materials, instructional materials, all office supplies, and travel expenses.
    4. Completes purchase order requests, check requests and deposits for faculty.
    5. Assists the chair in ongoing evaluation, allocation, and usage of the budget.
  6. Music Program Specific Support:
    1. Private music lesson support: registers, assigns and tracks all students taking private music lessons. Informs the Registrar’s Office. Sends appropriate faculty pay related information to the department chair.
    2. Tracks and submits all music use to licensing companies such as ASCAP, BMI and SESQUA.
    3. Coordinates tuning of all campus pianos and harpsichord.
    4. Schedules spaces for Events that occur throughout the year in May for the upcoming year.
    5. Orders printed music and related items, such as woodwind reeds for requesting students.
    6. Assists with Event Advertising: Advertises on campus and with local organizations via email, flyer, posters and/or printed materials. Prints and tracks all tickets and reservations for fund raisers as needed.
    7. Recital coordination: Recruits and orients a stage manager. Assigns the participant performance order, prepares, and prints the hard copy program.
    8. Collects and deposits money for ordered student lesson materials.
    9. Securely maintains money from ticket sales.
    10. Tracks payments on rental instruments.
    11. Collects, tracks and deposits with the appropriate entity, funds received for concert tickets, professional organization memberships, materials for methods classes and other miscellaneous collections.
    12. Distributes grade forms at the end of each senior recital to instructors.
  7. Bible Program Specific Support
    1. Assists in the development of the faculty denominational report for the department chair.
    2. Supervision of student teaching assistants
      1. Supervises a student assistant employee and indirectly oversees the work of department Teaching Assistants to include orientation, training, general program support, planning, assigning, and directing work, coaching, addressing complaints and resolving problems.
      2. Provides initial orientation and coaching support for Teaching Assistants.
      3. Oversees the prompt submission of grades by Teaching Assistants.
  8. Other
    1. Provides support for other Academic Programs as requested.
    2. Performs other related duties assigned.

  2. Physical: Must be able to perform the following: talking, hearing, and seeing. Must have sufficient manual dexterity to be able to operate all office equipment including, but not limited to: computers, fax machines, copy machines, modems, and telephones.

Qualifications:

  1. Minimum:
    1. Education/Certification: High School Diploma or GED with helpful course work/certification in office management or administration.
    2. Experience: Two to four years of experience in a secretarial or administrative assistant position.
    3. Skill/Abilities: Able to exchange information clearly and concisely, resolve questions and problems in a professional manner, manage workflow and communicate with the supervisor, comprehend simple instructions, short correspondence, and memos, and prioritize tasks and manage in an atmosphere of frequent interruptions. Possesses the skills of demonstrated high levels of accuracy and attention to detail, demonstrated effectiveness in communications both verbally and in writing, and has proven experience in effective working relationships. Strong typing and computer skills. Possess a strong basic knowledge of the Microsoft Suite, particularly with Word and Excel. Must be flexible and able to work independently. Able to meet deadlines. Skilled in organizing resources and establishing priorities.
    4. Christian Commitment: Eligible candidates must be a thoughtful and articulate Christian and an active member of a Protestant evangelical church. Preference will be given to candidates who support and have an articulate understanding of the Reformed faith. The individual must understand and support the College’s “Foundational Concepts of Christian Education” by expressing an evangelical Christian profession of faith and demonstrate the ability to integrate a Christian perspective in their work.
  2. Preferred:
    1. Education/Certification: Bachelor’s degree in a related field.
    2. Experience: Four or more years of experience in a secretarial or administrative assistant position at a college or university, ideally in an academic department.
    3. Skill/Abilities: In addition to the skills and abilities listed under minimum requirements: Advanced computer skills with extensive experience using Word and Excel; familiarity with educational software; ability to analyze and solve problems creatively; ability to make administrative decisions and judgments when necessary.
    4. MUSIC: Familiarity with names of composers and instruments; ability to read music; and flexibility to attend concerts and recitals outside of regular hours.
