Description

SCHEDULE: Full time; 9 a.m. – 6 p.m., Monday-Friday

JOB PURPOSE:

Supports the operations of the Human Resources department by maintaining the HRIS data and personnel files, performing background checks, and all other administrative duties.

ESSENTIAL JOB RESPONSIBILITIES:

  1. Input data into HRIS in a timely and accurate manner including, but not limited to, the following:
  • Personal and Demographic Data
  • Job Assignments and Wages
  • Performance Evaluations
  • Training Documentation and Expiration Dates
  • Termination Information
  1. Update, maintain and secure employee files in a timely and accurate manner.
  • Process and file Personnel Action Forms
  • Furnish authorized internal management with employee information
  • Verify designated information on former employees for authorized purposes
  • Perform timely records disposal in accordance with Record Retention policy
  • Process Workers Compensation and Unemployment Claims
  1. Perform background check on applicants chosen for employment in a timely and accurate manner including, but not limited to, the following:
  • Work History & Performance
  • Criminal Background
  • Personal References
  • Motor Vehicle Reports
  1. Perform administrative duties in a timely and professional manner including, but not limited to, the following:
  • Prepare and distribute routine and requested human resources reports
  • Oversee paperwork completion for new employees
  • Support new employee orientation in conjunction with HR team
  • Distribute and track site staff performance evaluations and rate increases on a monthly basis
  • Attend department meeting and record minutes. Attend organizational meetings
  • Maintain current auto insurance records on all applicable employees
  1. Provide administrative support to the CHRO, Human Resources Manager including, but not limited to the following:
  • Preparation of correspondence
  • Faxing of documents
  • Copying
  • Sorting mail
  • Special Projects
  1. Provide backup coverage for the receptionist.
  1. Maintain confidentiality of all personal and payroll information, and personnel files.
  1. Attend continuing education seminars, courses, etc., with approval of Human Resources leadership, to enhance skills and job performance.
  1. Perform any and all other duties as may be assigned from time to time to include support of surge operations to support emergency staffing initiatives that includes large recruitment effort, arduous hours and potential travel for extended periods of time.

Position Requirements

ESSENTIAL QUALIFICATIONS:

EDUCATION: High school diploma or GED preferred.

Experience: Minimum one-year experience in personnel record management. Minimum one-year experience in database management and custom report writing. Two-plus years of HR experience a plus

Communication Ability: Excellent oral skills and interpersonal skills. Must interact well with employees at all levels. Ability to remain calm in stressful or demanding situations.

Organizational Ability: Project planning, time management, proficient in setting goals and objectives. Excellent accuracy and detail oriented.

ATTENDANCE: Must maintain regular and acceptable attendance at such level as is determined in the employer’s sole discretion.

LICENSES: Driver’s License with clear record.

VEHICLE: Must have daily use of a vehicle without prior notice.

OTHER: Must be available and willing to travel to various locations and with such frequency as the business need dictates. Must not pose a direct threat or significant risk of substantial harm to the safety or health of himself/herself or others.

EXCEPTIONS TO THESE CRITERIA MUST BE APPROVED BY THE DEPARTMENT HEAD.

ESSENTIAL KNOWLEDGE, SKILLS, and ABILITIES:

COMMUNICATION: Ability to communicate clearly and effectively via oral or written means. Ability to present a friendly and positive demeanor to parents, school personnel, licensing, staff and the general public. Ability to make oral presentations.

COMPOSURE: Ability to remain calm and maintain self-control in the midst of difficult circumstances and emergencies. Ability to respond in a professional manner in all situations.

COMPUTER: Proficient knowledge of Word, Excel, Publisher, Access; PowerPoint a plus. 70 WPM, 98% accuracy.

DECISION MAKING: Ability to set work priorities and to evaluate and create solutions to work related problems. Ability to think analytically and evaluate the impact of decisions.

ORGANIZATION: Ability to plan ahead several months to a year. Ability to keep various on-going projects organized and files maintained accurately. Above normal levels of concentration and memory required. Requires good time management practices and the ability to meet multiple deadlines.

SUPERVISION: Ability to train, evaluate and guide employees. Ability to delegate and ensure follow through. Ability to provide feedback in a respectful and constructive manner.

TECHNICAL: Knowledge of administrative functions and support.
