Description

JOB SUMMARY: This position provides administrative work that is of a specialized nature, sometimes performed without procedures to guide actions.

ESSENTIAL FUNCTIONS:

  1. Provides printing of agency printed materials to all service areas as needed.
  2. Assists with the department budget by tracking expenses and processing and recording invoices from vendors.
  3. Provides support to the Data Management Specialist as needed as well as support with direct mail efforts.
  4. Provides support to the Monmouth County Board by sending meeting reminders, agendas and meeting minutes.
  5. Assists with special events i.e., Guardian Angel Dinner Dance and other events as required.
  6. Attends and provides minutes for the Development and Marketing Committee of the Board of Trustees.
  7. Attends and provides minutes for the Development and Marketing Department Staff meetings.
  8. Schedules and organizes activities such as meetings, travel, and departmental activities.
  9. Acts as liaison with other departments and outside agencies
  10. Assists with the management of the supervisor’s schedule
  11. Answers the phone, greets customers/visitors
  12. Designs and types general correspondence, memos, charts, tables, graphs, etc.

 
Position Requirements

KNOWLEDGE/SKILLS/ABILITIES: Extensive knowledge of office administrative procedures. Analytical ability to gather and summarize data for reports, find solutions to various administrative problems and prioritize work. Proficiency in computer skills. Bilingual preferred.

SUPERVISORY REQUIREMENTS: Yes

MINIMUM QUALIFICATIONS: AA degree from an accredited college or 4 years of related work experience. One year of supervisory experience, if applicable. Excellent interpersonal skills, project coordination experience and ability to work with all levels of internal management as well as outside clients/vendors. Proficient in word processing, spreadsheets and/or other office applications. Must pass skills test.
