Description

The Fairweather Programs provide supportive housing, case management, life skills training, and supportive employment opportunities for people with significant disabilities so that they can achieve a life full of stability, successes, and self sufficiency.

JOB PURPOSE: Create a positive first impression for callers and visitors while providing administrative support to the Fairweather programs staff and clients.

40% Create a positive first impression for callers and visitors

  • Answer multi-line telephone system and route to appropriate person in a prompt and professional manner

  • Be knowledgeable of basic information regarding the Fairweather Programs and other programs being directed by Family Endeavors so as to be able to intelligently communicate information to visitors

  • Welcome and greet visitors and clients in a friendly and professional manner.

  • Maintain a neat, inviting and professional appearance in lobby and personal work desk

50% Perform administrative duties in an accurate and timely manner:

  • Input client services into program database and prepare summary of data as requested

  • Prepares various reports using word, spreadsheets, and presentation software for Office Manager and Director

  • Support administrative staff with scheduling of appointments, filling in client files, and maintain communication between clients and staff

5% Receive and sort mail on a daily basis, place in staff boxes. Receive and sign for deliveries and notify recipient. Receive and process donations according to current needs/instructions.

5% Maintain building security:

  • Maintain building accessibility by issuing gate codes and proxy cards, as necessary

  • Monitor on site cameras for safety concerns

 
Position Requirements

EDUCATION: High School or equivalent and 1 year related experience.

EXPERIENCE: 6 months experience with a multi-line telephone system, 1 year preferred; 1 year experience with excel; 1 year in a customer service focused environment; experience with mental illness or other disabilities a plus.

ATTENDANCE: Must maintain regular and acceptable attendance at such level as is determined in the employer’s sole discretion.

LICENSES: Driver’s License with clear record.

VEHICLE: Must have daily use of a vehicle.

LANGUAGE: Bilingual (English and Spanish), preferred

OTHER: Must not pose a direct threat or significant risk of substantial harm to the safety or health of himself/herself or others. Must commit to protecting the integrity and confidentiality of the clients served.

EXCEPTIONS TO THESE CRITERIA MUST BE APPROVED BY THE DEPARTMENT HEAD.

ESSENTIAL KNOWLEDGE, SKILLS, and ABILITIES:

COMMUNICATION: Ability to communicate clearly and effectively via oral or written means. Ability to present a friendly and positive demeanor to clients and children served, staff and the general public.

COMPOSURE: Ability to remain calm and maintain self-control in the midst of difficult circumstances and emergencies. Ability to respond in a professional manner in all situations.

DECISION MAKING: Ability to set work priorities and to evaluate and create solutions to work related problems. Ability to think analytically and evaluate the impact of decisions.

COMPUTER: Working knowledge of Word and Excel. 25 WPM, 90% data entry accuracy.

TRAINING REQUIREMENTS:

ORIENTATION: 2 days

ON THE JOB: 2 months for basic competency; 1 year to experience full cycle of duties

MACHINES, TOOLS, EQUIPMENT, WORK AIDS: Multi-line telephone, computer, ten key calculator, printers, copiers, faxes, scanner.

PHYSICAL REQUIREMENTS:

Constant – Ability to communicate with callers determine routing of calls and information needed.

Constant – Ability to communicate with clients to determine needs

Frequent – Ability to input data, sort/organize work, complete paperwork.

Frequent – Ability to sit for prolonged periods of time at reception desk.

Occasional – Ability to move up to 10 pounds; deliveries, office supplies, stacks of files, etc.

WORKING CONDITIONS:

Indoors: 95% - Office environment; normal noise conditions

Outdoors: 5 % - All weather conditions and variable temperatures; daily trip to mailbox

RELATION TO OTHER JOBS:

REPORTS TO: Office Manager

SUPERVISES: n/a

 
Salary/Wage $11.00 to $13.00 per hour depending on proven experience; also full benefits package
