Office Services Assistant 

Category Administration  

Summary of Duties (Duties may include, but are not limited to the following):

  • Ensure office supplies are in stock and ordering if needed, (orders to be preapproved); stocking & organizing the copier/supply rooms;
  • Order business cards, stationery, name plaques, toner, coffee supplies, etc.;
  • Set-up and train new employees with the phone system, maintaining and updating company phone lists as well;
  • Liaise with users and technical staff in regards to telephone issues; reporting issues to the Corporate Services Supervisor;
  • Ensure new employees’ offices are set-up with the appropriate start-up supplies;
  • Types letters, memos, and responds to general inquiries;
  • Maintains routine records, and appointment schedules;
  • Maintain all kitchens, dishwashers, common areas, storage rooms, stationary supply cabinets, mailroom, and meeting rooms;
  • Periodically check fax machines and the delivery of faxes to the appropriate party (if urgent), or placing in appropriate parties’ mailbox;
  • Liaise and coordinate with equipment servicing/repair companies regarding office machinery such as photocopiers, fax machines, postage machine, etc.;
  • Troubleshoot and maintain office equipment; ensure postage machine is in working order at all times and advising Savanna Accounting personnel when postage meter requires more funds;
  • Liaise with building maintenance and management personnel when necessary (i.e., reporting when lights need to be replaced, etc.);
  • Assist HR / Payroll & Executive departments in sending out materials as required;
  • Providing assistance to all departments as needed, i.e. Prepare expenses, etc.;
  • Set-up and index files for Securit – offsite storage and liaise with staff / Securit when requiring offsite files;
  • Maintain company contracts/agreements for couriers, office supply companies, and Shredding /Securit;
  • Assist Corporate Services Supervisor in organization of company events and assist when necessary in any further assignments as requested;
  • Responsible for organizing personal work routines;
  • Reception coverage as required;
  • Assist and organize fundraising collections/events;
  • Other duties as assigned.


Required Knowledge, Skills and Abilities:

  • Excellent verbal and written communication skills;
  • Effective organizational and time management skills;
  • Detail oriented;
  • Strong interpersonal skills;
  • Possess a customer service orientation;
  • Computer proficient (specifically Microsoft Office Suite, Outlook, etc);
  • Must be able to lift up to 50lbs;
  • Self-starter who enjoys responsibility and accountability.


Education and Experience:

  • High school diploma or equivalent;
  • Minimum 1 to 2 years’ relevant experience.
