Executive Assistant - Corporate Calgary

General Statement of Duties:

  • Under the direction of Executive Vice President and Chief Operating Officer (“COO”) and Corporate Secretary, provide advanced secretarial, administrative and coordination support services.


Supervision Received:

  • Supervision as indicated in offer letter, reporting to the COO and Corporate Secretary.


Summary of Duties (Duties may include, but are not limited to the following):


Executive Assistant functions:

  • General Administrative duties;
  • Receive, prioritize, direct and coordinate COO’s mail, email, voicemail and appointments;
  • Coordinate details of COO and company functional meetings and undertakings;
  • Independently develop or coordinate preliminary drafts of presentations;
  • Receive and initiate extensive, regular contacts on behalf of the COO with supervisors, managers, other Executives, Board of Directors and other companies, regulators, shareholders and customers;
  • Review and summarize reports, documents and prepare documents as requested;
  • Research and analyze routine administrative projects for the Executives;
  • Provide backup material for call backs on request to free up COO time;
  • Follow up on travel bookings for COO;
  • Prepare and arrange meetings for COO including documentation and preparation of presentations materials as needed;
  • Develop customer contact lists, tracking of customer correspondence, issues and schedule coordination;
  • Maintain employee correspondence, issues and communication for COO follow up;
  • Attendance at quarterly business reviews and strategy sessions; preparation of minutes related thereto and maintenance of documents related thereto;
  • Organizes files and the archiving of old files;
  • Serves as a supporter and champion of Savanna’s values.


     Corporate Secretary Assistant functions:

  • Assist with arranging board, committee and shareholder meetings and schedules;
  • Preparation of documentation and communication with Board and Committee members;
  • Posting of meeting materials on corporate board portal;
  • Attendance at meetings as required and preparation of minutes related thereto;
  • Assist with maintenance of corporate minutes books of the Company and its subsidiary entities;
  • Assist with preparation of regulatory documents, including press releases, continuous disclosure documents and insider trading reports;
  • Assist with administration of the Company’s equity incentive plans including preparation of agreements related thereto, maintaining and updating the Solium software with respect to grants, exercises and terminations and preparation of reports on a quarterly basis;  
  • Preparation of memos, letters and other important correspondence for senior leadership team as requested;
  • Attend to mailing of quarterly reports and annual reports to shareholders;
  • Periodically review the corporate web site in co-ordination with webmaster to ensure accurate, timely and up-to-date content; 


Required Knowledge, Skills and Abilities:

  • Excellent communication skills both oral and written;
  • Advanced computer and presentation skills;
  • Effective organizational and time management skills;
  • Ability to maintain confidentiality;
  • Ability to work independently or part of a team;
  • Friendly, outgoing personality, highly professional;
  • Ability to work through others effectively.

Education and Experience:

  • High school diploma or equivalent;
  • 5 to 10 years of Senior Executive Assistant experience and/or Administrative Assistant Certificate and/or legal secretarial certification;
  • Experience in a legal administrative position in a corporate and securities law environment would be an asset (paralegal training);
  • Experience with preparation and handling of corporate documents and filings.
