About the Organization Psych Choices of the Delaware Valley has been in business since 2001 in Delaware County area and offers a clinically diverse and collaborative work environment with over 15 clinicians (LPC, LCSW, LMFT, PsyD) and several medication providers (Psychiatrist, Nurse Practitioner, MD).

Psych Choices services a broad range of mental illnesses and age ranges in the community and has a steady stream of clients. Due to being a larger practice with great rapport in the community, Psych Choices has negotiated the best rates with commercial insurances and can offer excellent compensation/benefit packages. Psych Choices was founded in 2001 by Noah D. Freedman,MD and Emily Kahn-Freedman,LMFT. They sold their practice May of 2018 to Damani Irby,LPC who plans to build on what they established and expand throughout Delaware County. Connecting and building with forward thinking providers is his ultimate goal towards ending the stigma often associated with mental health.

While brain chemistry and talking are important elements of healing, equally essential are the body, the emotions, the spirit, and our relationships with others as well as ourselves. Psych Choices also supports strategic lifestyle changes that can be equally effective in contributing to positive outcomes.

Treatment at Psych Choices can consist of individual, couples/family, group therapy, yoga, educational classes, medication management or a combination of either. There are providers specializing in various mental health challenges from mood/anxiety disorders to childhood issues such as ADHD or ODD. Position Intake Coordinator

Description

Psych Choices of the Delaware Valley, LLC is looking for someone with experience in the area of mental health to fill a part-time position in our Intake Department. We currently have an opening for a team member who is available to work two flexible 8-hour shifts every Wednesday and Thursday in our Broomall office.

Starting pay rate is $11.00/hour, with immediate review for an increase after satisfactory completion of 90-day probation. Paid holidays, sick and vacation time is offered with this position.

The primary roles of the Intake Coordinator position are:

  • Speak with potential new clients who are experiencing difficulties relating to their mental health
  • Maintain boundaries while still making the client feel heard and valued
  • Review all new patient appointment requests and schedule with appropriate personnel
  • Verify insurance benefits and adhere to insurance guidelines prior to scheduling
  • Complete PCP outreach letters after all new patient appointments
  • Maintain seamless workflow with other members of the Intake department
  • and take direction from the immediate supervisor [Practice Manager]

The individual tasks necessary to fulfill the roles outlined above are as follows:

  1. Review new Intake e-mails respond accordingly based on availability of services, providers, insurance, etc.
  2. Answer calls and respond to voicemails; schedule or refer out accordingly based on availability of services, providers, insurance, etc.
  3. Reply to all calls and/or e-mails with no more than a 2 business day turnaround for initial contact
  4. Record all phone outreach dates and times in the intake call log, including voicemails left, mailboxes full, etc.
  5. Review provider insurance availability and services offered prior to offering an appointment to a new client
  6. Review all insurance benefits prior to scheduling a new client
  7. Obtain authorization from insurances as needed prior to scheduling a new client
  8. E-mail patient confirmation e-mails at least 24 hours prior to the patient appointment
  9. Send PCP contact letters for all completed new patient appointments monthly
  10. Coordinate workload with other members of the Intake department to ensure coverage and sufficient new client response times
 
Position Requirements
  • High school diploma
  • 2-3 years experience working in a mental health office in the administrative or intake capacity
  • Familiarity with insurance benefits is preferred
  • Familiarity with HIPAA is preferred
  • Basic knowledge of Microsoft Excel is required
  • Ability to communicate clearly and professionally (written and oral)
  • Ability to work in a team of 2-3 people towards the same goals
  • Reliability and a strong work ethic is a must
