Description

Seeking a Bilingual Assistant Office Manager for our Hematology-Oncology Department in Valhalla, NY. Schedule will be Monday-Friday 9:30am-6:00pm, salary will be $50,000-$56,000 annual.

PRIMARY PURPOSE:

  • Performs administrative, executive secretarial and clerical related work duties to support the division. Assists the division Office Manager and Division Chief.

SPECIFIC JOB DUTIES AND RESPONSIBILITIES:

  • Assists Office Manager in his/her administrative duties
  • Provides administrative support for Division Chief
  • Prints and responds to Division Chief’s emails with discretion
  • Transcribes, letters, reports etc. for Division Chief
  • Edits abstracts, presentations etc. for Division Chief
  • Coordinates and sets up interviews for potential recruitments
  • Schedules and pre-authorizes hospital procedures
  • Answers telephones, schedules appointments, screens calls, takes messages and provides patient information according to division policy and procedure
  • Updates patient information as necessary, provides support services to patients and medical staff
  • Requests, locates, sends, receives and/or prepares patient medical records
  • Responsible for completion and accuracy of billing, resolving patient billing/insurance issues
  • Prepares charts, obtains referrals, confirms patient appointments
  • Processes invoices and check requests
  • Resolves patient questions and concerns
  • Clerical duties including typing, copying, filing, faxing
  • Facilitate the organization, audio/visual needs, and catering for meetings, conferences, events, certificate luncheons, and graduation dinners
  • Facilitate solicitation and assessment of evaluations on fellows, faculty, students, and rotations as they relate to fellow training
  • Compile and prepare accreditation reports/materials for submission to Accreditation Council of Graduate Medical Education (ACGME) and American Boards when due. Ensure training programs meet all the requirements set by the accreditation agencies
  • Responsible for completing fellow evaluation summaries for American Boards using the electronic evaluation system (E*Value)
  • Prepare and submit Program Information Form (PIF) to Medical Staff Office for credentialing
  • Ability to multi-task and set priorities accordingly. May be requested to perform other duties as necessary to ensure the smooth functioning of the office
  • Maintains strictest confidentiality in accordance with BCHP policy and HIPAA regulations

  • Performs job duties and work is accomplished within appropriate time standards determined by division
  • Regularly reports to work when scheduled. Reports back from meal break within allotted time frame
  • Maintains a professional appearance and neatness as outlined by BCHP guidelines
  • Understands and performs job duties and responsibilities
  • Provides patients and staff with assistance when situation arises
  • Actively participates as a team member by supporting decisions, accepting change, managing conflict effectively and valuing the contribution of others
  • As an employee of BCHP, the position requires professionalism through courteous, prompt patient, staff and vendor encounters ensuring the values of the organization and commitment to quality patient care

USE OF EQUIPMENT:

  • Computer, telephone system, copy machine, fax, paper shredder, calculator and various standard office equipment and/or machines.

CONFIDENTIAL DATA POSITION HAS ACCESS TO:

  • Patient files, insurance and/or financial information

WORKING CONDITIONS - PHYSICAL EFFORT:

  • May encounter prolonged hours sitting and working on the computer and telephone. May be required to bend, reach or lift in excess of ten pounds. Frequent exposure to communicable diseases and other conditions common to a medical facility.

MINIMUM EDUCATION AND EXPERIENCE:

  • High School diploma or equivalent. College or secretarial school preferred. One (1) to two (2) years experience in related position. Advanced computer literacy. Bi-lingual (Spanish) required.
