Geneva College is a Christian liberal arts college in the reformed tradition located about 50 miles north of Pittsburgh. Founded in 1848 by the Reformed Presbyterian Church of North America, Geneva has majors in both liberal arts and pre-professional programs, and offers both undergraduate and graduate degrees. Geneva's faculty provide a challenging education that prepares students for careers, for further education, and for life. In all fields of study, students are challenged to explore the implications of the Christian faith on their discipline. Geneva has approximately 1,350 students enrolled in its various programs taught by its faculty of nearly 70 members. The college seeks to prepare students to serve Christ and the world in all areas of society, including work, family, and the church. Geneva is a founding member of the Council of Christian Colleges and Universities (CCCU).

Description
  • Summary of Responsibilities: The Registrar is responsible for the oversight of the academic records of the institution and the monitoring of academic policies, procedures, and curriculum. The Registrar directs all facets of the operations of the Registrar’s Office including student registration and records, class schedules, instructional space assignments, graduation clearance, and other related matters. This position also plans and develops strategies for the maintenance, operation, and upgrading of the academic information infrastructure. The Registrar supervises an office team, which is a critical component of this position.
  • Essential Responsibilities: (These essential responsibilities are those the individual must be able to perform unaided or with the assistance of reasonable accommodation.)
    • Record keeping:
      • Schedules students for classes that assist them in earning degrees and acts as reference person for current and prospective students in registration matters.
      • Supervises course scheduling and student registration.
      • Consults with faculty advisors about student records and academic careers.
      • Evaluates transfer credits for incoming students.
      • Authorizes course transfers for current students.
      • Responds to emails and telephone calls regarding transfer credits and academic programs.
      • Sends credit update emails to students about transfer credits and degree requirements.
      • Updates transcript log for incoming transcript evaluation.
      • Conducts graduation audits.
    • Reporting and Policy Management:
      • Monitors policies and procedures for registration and advising.
      • Completes records regarding athletic eligibility and works with coaches, faculty and students regarding athletic eligibility.
      • Handles various aspects of policy creation, review, and implementation.
        • Works with academic committees to set and implement policies.
        • Implements faculty academic policies.
        • Reviews policy exception requests.
      • Develops and publishes major college information documents including, but not limited to, College catalogs and class schedules.
      • Coordinates, interfaces, and improves the institutional database both departmentally and campus-wide using the available reporting tools.
      • Acts as a resource for recommended changes in college courses, programs and degrees.
      • Acts as liaison between Geneva College and off-campus programs.
      • Represents the College to various institutional divisions as well as externally to governmental agencies, vendors, students and their parents, and/or the general public.
      • Works closely with the Dean of Student Development on Student Retention matters.
      • As ex-officio member of the Graduate and Adult Program committee, reviews the policies, methods of program delivery, majors, and courses offered by non-traditional Adult Degree Completion Programs.
      • As an ex-officio member of the Academic Program Committee, reviews the policies, methods of program delivery, majors, and courses offered by the traditional undergraduate program.
      • Manages the Academic Continuation Process and works with the Dean of Undergraduate Programs and appeals of continuation decisions.
    • Registrar Oversight:
      • Directs the daily operations of the Registrar’s Office.
      • Constantly implements and updates strategies to ensure accuracy, improve efficiency, streamline the operations of the Registrar’s Office, and to effectively accomplish the organization’s goals and objectives.
      • Conducts a Junior Audit and Senior Audit Review with each graduation candidate. Approves students for graduation and assists with information for commencement activities.
      • Contributes to commencement planning and procedures.
      • Oversees all related academic computer system applications, which includes maintaining and upgrading academic records archives, on-line student database, and other electronic databases and information systems.
      • Develops and manages annual budgets for the organization and performs periodic cost and productivity analyses.
      • Strives to gain additional professional knowledge of the field, evaluates new technologies, and recommends implementation as appropriate.
      • Performs all other duties as assigned.
    • Supervision:
      • Supervises regular employees to include interviewing, hiring, training, planning, assigning and directing work, coaching, appraising performance, rewarding and disciplining employees, addressing complaints and resolving problems.
      • Must have a mindset of mentoring employees under supervision. Should be able to lead in a way that sets a good example, promotes teamwork, and encourages a positive, efficient work environment

Position Requirements
  • Job Requirements - Administrative:
    • General: Individuals must possess the knowledge, skills, and abilities listed or are able to explain and demonstrate that they can perform the essential responsibilities of the job, with or without reasonable accommodations in order to safely perform the essential responsibilities of the job.
    • Physical: Must be able to perform the following: talking, hearing, and seeing. Must have sufficient manual dexterity to be able to operate all office equipment including, but not limited to: computers, fax machines, copy machines, modems, and telephones.
    • Confidentiality: Individuals must recognize that management of data, including personal information, grades, budgets, programs and policies is necessary to the operation of the College. Such information must be kept private and confidential for the protection of the College and to obey Federal and/or State laws. Should there be doubt as to whether a certain matter is to be protected, it should be discussed with your supervisor before making a disclosure.
    • Mental: Must be able to reason, analyze, prioritize, conceptualize, make judgments, and solve problems.
  • Qualifications:
    • Minimum:
      • Education/Certification: Bachelor’s degree
      • Experience: Five years of work in a registrar’s office with progressive responsibilities. Three years of supervisory experience.
  • Skill/Abilities:
    • Knowledge of principles and practices of college registration
    • Knowledge of database construction, management, and retrieval methods
    • Ability to configure and use computerized database programs
    • Knowledge of academic instruction, degree and program requirementsKnowledge of athletic eligibility
    • Record keeping and report writing
    • Management and supervision
    • Ability to provide technical leadership in registration
    • Ability to communicate effectively verbally and in writing
    • Ability to operate PC and related software
    • Ability to maintain effective working relationships
    • Strong ability to supervise registrar staff
    • Ability to advise and counsel others
  • Christian Commitment: Eligible candidates must be a thoughtful and articulate Christian and an active member of an evangelical Christian church. Preference will be given to candidates who support and have an articulate understanding of the Reformed faith. The individual must understand and support the College’s “Foundational Concepts of Christian Education” by expressing an evangelical Christian profession of faith and demonstrate the ability to integrate a Christian perspective in their work.
  • Preferred:
    • Education/Certification: Master’s degree in a relevant field
    • Experience: Seven years of experience as a college Registrar with Jenzebar EX experience.
