Loan Processor

Processing Supervisor & Director of Operations

Overall Responsibility:

Complete responsibility for overseeing the flow of mortgage loans from origination to approval, with closing conditions only. The processor is responsible for learning a full array of mortgage products, including both conforming and non-conforming programs.

Key Responsibilities:

  1. To organize all loan files.
  2. To ensure all loans are set up in the Avista on a timely basis. (Within 48 hours of receipt.)
  3. Re-verify all information provided with the loan application.
  4. To obtain all documents necessary in order to close the file.
  5. To communicate the loan status to borrowers, Realtors, and loan officers and follow-up with the parties to obtain all items requested by the underwriter on a timely basis.
  6. To prepare all files for efficient, timely closing by the closer.
  7. To communicate program parameters and procedures to inquiring parties (i.e. loan officers, Realtors, borrowers, etc.).
  8. To maintain accurate, realistic estimated closing dates consistent with all party's expectations.
  9. To assist others in completion of miscellaneous projects and properly utilize her/his time.
  10. To return all phone calls and emails promptly and resolve issues to requesting party's satisfaction.
  11. To efficiently operate all office equipment and data processing systems independently.
  12. To provide for timely response to inquiries in your absence.
  13. To project a professional presence at all times.
  14. To continuously seek process and personal improvement so as to provide increasing levels of service to customers.
  15. To comply with all internal policies and procedures.


  1. All documents are uploaded to the file in Avista, should be sorted in the proper category and all duplicates are junked. Note the items you don't have and contact the borrower, agent, etc.
  2. All loans are properly input into Avista and submitted to the Underwriting Department within 48 hours of receiving the file. All loans (i.e., FHA, non-conforming, conforming) should contain complete, accurate information (i.e., Vendor info, loan origination, HMDA data, etc.). Loan officers, borrowers, and/or Realtors never inquire about a loan delivered more than 48 hours before that is not in the Avista system and reviewed.
  3. Verbal verification from creditors, employers and banks required by underwriting are obtained within 24 hours of receiving the file from underwriting and all inconsistencies are immediately brought to the supervisor's attention.
  4. All documentation necessary to close the loan (i.e., title work, appraisal, credit, etc.) is obtained and placed in the file within ten (10) days. All outstanding items are properly listed and gathered efforts are noted in the memo screen.
  5. Loan officers, Realtors, and borrowers are pleased with the response time of loan review and closing and commend the processor's professionalism. All underwriting conditions are cleared quickly and all loans are closed, declined, or withdrawn within 3 business days.
  6. All documentation necessary to prepare the closing package is uploaded to closing conditions and does not need to be obtained by the closer. All loans are ready to be sent to closing within 3 business days of scheduled class for purchase and at least 7 business days prior to lock expiration for refinance.
  7. Loan officers, Realtors, and borrowers are confident in your ability to address their inquiries and are impressed with your courtesy and knowledge of Towne's policies and procedures. Any unknown answers are investigated (soliciting your supervisor's assistance) and communicated to the inquiring party within one hour.
  8. Avista has accurate estimated closing dates on all loans (e.g., dates cannot be in past or in the too distant future). Realtors, borrowers, sellers, and loan officers are aware of and agree to the estimated closing dates at all times. No complaints on this matter are received and you are commended by customers for meeting deadlines.
  9. Others are confident in your assistance and you inquire as to other's needs when time permits.
  10. All messages are retrieved and returned within 1 hour. Customers and business partners comment favorably on review mailers and no complaints are placed with loan officers, managers, or peers about your not returning phone calls.
  11. Relevant materials on all equipment and computer programs are accurate and organized. You do not seek guidance of supervisor on operational matters relating to computer programs or equipment and are able to train others on the 'how' and 'whys' of all systems.
  12. Your desk is organized in same manner as other processors. Any physical documents are easily located in your absence, and notes are accurate in Avista. Customer updates are quickly provided by others and never have to wait until your return.
  13. You participate in meetings, suggest improvement, develop your knowledge, handle increasing work levels, and project a passion for the business (e.g., are enthusiastic and empathetic).

Terms of Employment:

All duties and responsibilities will be performed adequately, effectively, and according to the employees Direct Supervisor and company standards.

The Ideal applicant will have 2-3 years of current Mortgage Loan Processor experience.
