SUMMARY

Performs administrative duties and advanced level receptionist duties within the agency. Assists with electronic health record entry and wellness & community connections. Answers phones, greets visitors/staff coming to area, supports core team, and performs general office duties related to the program. Completes routine assignments and/or special assignments on a daily basis.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

  • Performs program opening/closing responsibilities as pertains to assigned area, including securing confidential items.
  • Types correspondence, memoranda, reports, copies and distributes information as directed, including mass mailings or internal communication; utilizes various word processing, data bases, spreadsheets when required; has operating knowledge of advance copy machines, fax, shredders, and other appropriate office equipment. Assists Project Director when applicable.
  • Performs duties as required to understand and maintain the electronic health record system.
  • Ensures adherence to documentation process for prescribed word processing procedures.
  • Coordinates and manages agency forms, materials, and printing requests; receives bids for printing jobs or special projects, and checks for quality, quantity, cost accuracy and efficiency; and maintains agency reference manual forms.
  • Answers, screens, and routes telephone calls and visitors, takes precise messages, etc., disseminates information when appropriate or refers to higher authority if required.
  • Directs clients, visitors and staff to program area and assists them with their particular needs.
  • Coordinates meetings, schedules, and appointments (clients staff and/or community), notifies participants, makes room arrangements, prepares materials, and provides clerical support, writing, preparing, and distributing minutes, etc.
  • Maintains constant awareness of newly-implemented program changes/revisions for all Red Rock service programs (i.e. criteria for acceptance into the program, funding source criteria, current openings and waiting lists, new staff assignments and cases assigned to staff after disposition).
  • Sets up and maintains area files, forms, supplies, etc., as well as program area's appearance, as needed.
  • Maintains core competencies in relation to working with co-occurring disorders through continuing education and implementing skills into all aspects of treatment.
  • Attends staff meetings, workshops, and seminars to learn agency policies, rules, regulations, and procedures; participates in ongoing in-service training as well as pertinent external training.
  • Assists in the development and implementation of programmatic goals and objectives.
  • Supports and assists with the facilitation of Care Plans for consumers within the Red Rock Health Team.
  • Performs other duties as assigned.
 
Position Requirements

QUALIFICATIONS

  • High School Diploma or equivalent with specialized vocational-technical or business training.
  • Experience in a position that required attention to multiple tasks.
  • Excellent interpersonal and communication skills.
  • Ability to prioritize work and perform under pressure, and think quickly in unusual/stressful situations.
  • Experience working with community services.
  • General skills in understanding and carrying out oral and written instructions; in exercising independent judgment, tact, patience, and understanding.
  • Detail oriented, with excellent organizational skills.
  • Commitment to the mission of Red Rock BHS
  • Preferred relevant Associate’s Degree.
  • Preferred two years secretarial/office experience with heavy public contact.
  • Preferred experience working with low income and minority clients with understanding of cultural diversity.
  • Preferred previous experience in medical environment.
  • Preferred advanced level in computer hardware/software use.
