Chevy Chase Club is a distinctive social institution that, since 1892, has provided members, their families and guests with recreation and refuge from the stresses of daily life in the environs of our nation's capital. Chevy Chase Club is a 126 year old, member-owned club with 2,400 member families. Total Club Revenue $29,000,000. Facilities include clubhouse including member dining and private function rooms, casual restaurant, an 18-hole golf course, outdoor and indoor tennis courts; paddle tennis courts, fitness center, swimming pools, duckpin bowling lanes, ice rink, and overnight guest rooms and nature trail. Chevy Chase Club is a traditional full service private country club open 365 days a year.


 
Description

The Executive Board Assistant/Membership Coordinator reports directly to the GM/COO and works closely with the club's Board of Governors.Responsibilities center around coordinating all aspects of the Club's membership process and for facilitating the administrative needs of the Board of Governors.

General Duties:

  • Handle all correspondence to and from the Board of Governors.
  • Answer calls from sponsors regarding status of candidates, requests for membership applications and inquiries from the general public regarding membership.
  • Maintain all membership files and computer database – including changes in status or personal information. Process membership update information submitted via website.
  • Create and maintain files for membership candidates.
  • Coordinate cocktail parties and sit-arounds for the membership candidates and their sponsors, send invitations and circulate information on attendees to the Board.
  • Prepare and send correspondence notifying newly elected members and their sponsors. Send new member packet and letter to sponsors from President.
  • Process Guest Card requests, and explain Guest Card procedures -register information at Front Desk.
  • Circular - compile lists of candidates interested in standing for election, print, proof read, and distribute twice a year to the membership.
  • Prepare membership report for bi-monthly bulletin and update same on Club website.
  • Prepare condolence letter and posting for deceased members. Coordinate posting and election of Surviving Spouse applicants.

Board /Executive Committee:

  • Coordinate all details associated with Board and Executive Committee calendar and meetings. Take and prepare minutes for each meeting.
  • Prepare monthly membership worksheet with status change requests for Board consideration and intake calendar including current numbers in each category.
  • Maintain Board Policy File in consultation with General Manager. File to be updated following approval of new or modification to existing Board policies. 
  • Be familiar with Club By-laws and able to explain and interpret By-laws at the request of members.
  • Provide the Auditors with copies of all Board documents as requested.
  • New Board Member Orientation - coordinate with the General Manager the orientation materials for new Board members. Present information to the new Governors on the membership candidate process.
  • Assist Board in establishment annually of Nominating Committee. Coordinate Committee meetings and materials as requested.
  • Maintain Club Bulletin Boards with relevant member information.
