SUMMARY OF POSITION

This position is responsible for maintaining and updating the online servicing system with accurate escrow information by verifying the accuracy of all escrow accounts in our portfolio.  The analyst is responsible for working directly with our insurance and tax service vendor to ensure accurate and timely processing of real estate tax and insurance information. Supervise the Optional Insurance process, including new orders, deletes and monthly remittance and ensure the PMI and Optional products are remitted timely.  The analyst responds to inquiries, complaints and disputes from customers regarding escrow products and services.  Duties may include: resolving routine and some escalated problems; communicating information either orally or in writing to customers, vendor, other departments, and/or senior management. The analyst may assist in reconciling assigned general ledger accounts. The position is also responsible for ensuring that Escrow Account Disclosures are properly prepared and distributed; directing the timely processing of the Initial, Annual and Final Escrow Analysis.  Tracking and Collection of tax penalty receivables. Oversee reconciliation reports of outstanding checks provided by accounting. Perform Quality Assurance on Hazard Loss claims.

 

 

ESSENTIAL JOB FUNCTIONS: Describe the essential functions of this position in order of importance.

  • Corresponds with Tax and Insurance Service Vendor to ensure procedures are followed and adheres to the requirements of Service contract. Provides support by reviewing reports and supplying requested information. Monitor Tax Service reports to ensure issues are cleared in order to maintain accurate contracts

 

  • Reviews and verifies the accuracy of tax and insurance documentation on escrowed loans and communicates when necessary with tax and insurance vendors as it relates to verification of escrow activity.

 

  • Monitors system reports for outstanding escrow items and researches items as assigned in Customer Tracking System and provides resolution.

 

  • Direct the timely processing of the Initial, Annual and Final Escrow Analysis.

 

  • Reviews escrow refunds received by taxing authorities and requests reimbursement from varying sources of recoverable tax penalties paid.

 

  • Performs check inquiries pertaining to escrow related disbursements. Reviews outstanding check logs and researches in accordance to the disbursement type.  Processes voids and stop payments from the Disbursement Clearing Account and Corporate Advance Account

 

  • Interacts with internal/external customer regarding escalated compliance/complaint issues. Assists customers with tax, insurance, PMI and Optional Insurance related issues.

 

  • Reconciles and disburses monthly Optional Insurance Premium and PMI billings. Reviews post funding adjustments pertaining to Real Estate Taxes and PMI.

 

  • Prepares monthly status reports and ‘penalty expenses paid as Corporate Expense’ reports as required by Management.

 

  • Assists in preparing quarterly Vendor Report Cards and any new Vendor Due Diligence as required.

 

  • Researches overages, shortages and deficiencies that fall outside of the pre-determined tolerance.

 

  • Generates overage checks produced with the escrow analysis and verifies prior to mailing to the   customer.

 

  • Processes and mails Aggregate Escrow Account Disclosures and executes Final Escrow Disclosures on all loans that have been paid in full or have been transferred to another Service provider.

 

  • Researches tasks as assigned in LPS system and provides resolution.

 

  • Monitors reports to ensure that all loans are reviewed on an annual basis and research any discrepancies so as to be in accordance with RESPA.

 

  • Maintains and updates vendor information as requested and assists internal and external customers in resolving escalated escrow analysis issues.

 

  • Processes escrow refunds received by taxing authorities and requests reimbursement from varying sources of recoverable tax penalties paid.

 

  • When necessary assists internal and external customers with tax, insurance, PMI and Optional Insurance related issues. Reconciles and disburses monthly Optional Insurance Premium and PMI billings. Reviews post funding adjustments pertaining to Real Estate Taxes, Insurance and PMI.

 

  • Ensures compliance levels are met in accordance with Federal, State and Company guidelines.

 

  • Logs inquires (phone calls or written) into the database for follow-up and tracking status.  Tracks customer calls and problem resolution for trends and process reviews.

 

  • Solves problems when at all possible, to help in eliminating recurring issues.  Reports potential serious problems and/or number of similar system issues to Department Manager for follow-up and resolution.
 
Position Requirements

1. EDUCATION / EXPERIENCE:

  • High School Diploma or equivalent.
  • Extensive knowledge and understanding of Escrow Analysis process
  • Minimum 2 years of Mortgage/Escrow background

 

2.  ADDITIONAL REQUIREMENT / SKILLS:

 

  • Proficient in Microsoft Word and Excel.
  • Excellent organizational skills.
  • Strong verbal and written communication skills.
  • Ability to work independently
