Description

SUMMARY:   Under direct supervision, the Administrative Assistant 1 greets customers or visitors and directs them to the proper department, and/or notifies other associates of their presence.  The incumbent also answers phone lines and route calls to the proper departments.  In addition, the incumbent provides clerical support and must be able to maintain confidentiality when dealing with sensitive information. The incumbent’s primary accountability is to assist the branch/department with the flow of customers and phone calls.  This position affects the bank's image, internal morale, respect, and external perception of bank integrity. 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.  Other duties may be assigned. 

  1. Greet customers and other visitors, answer questions and route to the proper department or personnel. 
  2. Answer telephone lines; take accurate and complete messages and direct calls to the appropriate personnel.  
  3. Responsible for keeping the lobby/department area neat and clean to project a professional image.  
  4. Transcribe and type letters, memos, reports, etc. for various personnel in the bank/department as requested. 
  5. Provide routine clerical support (such as opening mail, making copies, filing, preparing reports, etc.) as requested. 
  6. Maintain various managers and/or department calendars as requested. 
  7. Provide assistance with customers and visitors as needed (such as assisting with building, safe deposit box access, sign and other requests, etc.) ensuring all security measures are followed. 
  8. May attend various meetings, record, type and distribute minutes.
  9. Understand and comply with bank policy, laws, regulations, and the bank's BSA/AML Program, as applicable to your job duties. This includes but is not limited to; complete compliance training and adhere to internal procedures and controls; report any known violations of compliance policy, laws, or regulations and report any suspicious customer and/or account activity.

  • Maintain a high level of cooperation and rapport with all associates in order to ensure accurate and efficient operations and service.
  • Formulate and communicate new ideas and suggestions that will improve profitability and efficiency for the bank's overall operation.
  • Promote professionalism at all times.

QUALIFICATION REQUIREMENTS:

EDUCATION and/or EXPERIENCE:

  • High School or general education diploma (GED) required.
  • 4 months previous work experience required.
  • Working knowledge of Microsoft Office Suite required.
  • Previous banking or office experience preferred.

  • Must be able to arrive at work on time, work on site and have regular work attendance

While performing the duties of this job, the associate is regularly required to talk or hear and sit. The associate occasionally is required to stand and walk; use hands to finger, handle, or feel objects: bend; and reach with hands and arms.

The associate must occasionally lift and/or move up to 52 lbs and be able to carry or move file boxes.

Specific vision abilities required by this job include close vision, color, and the ability to adjust focus.
