Description

SUMMARY: Under the direct supervision of the Mortgage Loan Document Imaging Supervisor, the Mortgage Loan Document Imaging Specialist is responsible for prepping, indexing, scanning and/or reviewing for accuracy all loan documents in a timely manner.  The incumbent should be familiar with loan documents and building files. 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.  Other duties may be assigned.

  1. Document preparation review – Receive paper files and documents, remove any staples or other fasteners, verify loan numbers and Tax Id numbers, print bar code headers sheets, separate file in accordance with the proper sorting process, prepare entire file for scanning, and ensure the correct stacking order.  Maintain complete listing of loan files prepped on a daily basis for audit purposes.  
  2. Workflow preparation review – Receive imaged files and documents within the workflow program, verify loan numbers and Tax Id numbers, electronically separate all imaged documents in accordance with the proper sorting process, ensuring all imaged documents are placed in the proper index in accordance with policies and procedures.  Maintain complete listing of loan files prepped on a daily basis for audit purposes.  
  3. Scanner operator – Prepare batches of papers to be scanned and place the batches in the scanner, creating images. Then, QC (quality control) the batch of images for clarity and other items such as miscellaneous bar codes on documents, ensuring no duplicate bar codes. Clean, calibrate and maintenance scanners, and ensure there is a proper inventory supply on a daily basis.  Maintain a complete listing of batches and pages scanned on a daily basis for audit purposes. 
  4. Indexer (building a file in the computer) - Utilize specially licensed software to complete index values for each image (page) to create a “file” in the viewing software, IBPM. 
  5. Quality Assurance/Validation – Verify index values once the scanner and indexer steps have been completed and the images have been converted to imaged files in IBPM, correcting any errors found. Remove all collateral documents from the paper loan files for storage on-site. Complete and box paper loan files after validating information is correct in IBPM for shipment to third party vendor for proper storage, maintaining a master listing of all loan files.  
  6. Research documents as necessary for internal associates. Receive phone calls and emails, responding quickly to requests for changes in index values on “built files” in IBPM.

EDUCATION and/or EXPERIENCE:

  • High school diploma or general education degree (GED) required
  • Knowledge of mortgage loan documents preferred
  • Previous experience with Interlinq and IBPM preferred
  • One (1) year previous loan experience preferred

While performing the duties of this job, the associate is regularly required to talk or hear. The associate must be able to sit for long periods. The associate occasionally is required to stand and walk; use hands to finger, handle, or feel objects; bend and reach with hands and arms.

The associate must be able to lift and/or move up to 25 lbs., but also may be asked to help move boxes filled with paper weighing up to 40 lbs.

Specific vision abilities required by this job include close vision, color, and the ability to adjust focus.
