Sales and Distribution Operations Administrator

NCI is seeking a Sales and Distribution Operations Administrator reporting to the Vice President of Distribution and Senior Vice President of Sales Operations for our Norcross, GA corporate office. This individual is responsible for providing administrative support to upper mid level (director) or VP management level and regional offices. May lead or direct junior level administrative staff.


  • Consistent and punctual attendance.
  • Provide general administrative support (telephone, fax, email, copying, mail, pc, etc.)
  • Creates, Reviews, audits, codes, and approves departmental expenses & invoices (office travel, Corporate AMEX, contractor invoices, storage facilities, etc.)
  • Codes, approves and works in depth with Accounts Payable in order to ensure the timely processing of bills and invoices
  • Maintains office equipment leases, storage leases, and various other agreements for the distribution team (Rack rental, third party, storage agreements etc.).
  • Maintains and orders office supplies for members across multiple departments
  • Organizes and arranges travel upon request.
  • Assists in the resolution of technical issues, coordinating between IT and team members and following up to ensure resolution
  • Performs various reporting tasks that will include but are not limited to: data entry, data reorganization, report creation, process mapping, table creation, report formatting, and presentation creation
  • Demonstrates a strong comfort level with Google Docs, Google drive, in order to create. maintain, share, and train new hires and other employees on the functionalities and standard procedures of Gmail, Google Drive, and Google Calendar in the office
  • Creates and organizes conference calls/webinars via GoToMeeting
  • Creates and maintains Purchase Orders and filing system. Reconciles Purchase Orders to Invoices upon receipt. Works with VP of distribution to ensure accuracy.
  • Assists with sales functions
  • Maintains records for sales representatives (Agreements, billing reports, etc)
  • Calls customers and answers questions from customers
  • Assist with set up of functions which may be offsite
  • Offers support with distribution functions
  • Maintains calendars and schedules events for supervisors.
  • Maintains multiple reports and documents used across the entire team.
  • Provides the team with the books to be printed every month and consolidates for production purposes.
  • Creates, organizes, troubleshoots, and preserves the budget documentation for the entire distribution team.
  • Audits and troubleshoots payroll and payroll issues (Commissions, Bonuses, Etc.)
  • Works with multiple temp agencies and assists with the processing, training, and overseeing of contractors.
  • Assists with maintaining billing and invoicing records.
  • Assist with personnel and record management
  • Recruiting and local ad placement
  • Scheduling phone and in physical interviews
  • Proctoring assessments for qualified candidates
  • Offers assistance and acts as source of information on the financial/expense/HR system
  • Exhibits excellent written and verbal communication skills

Other duties include:

  • Attends training as required
  • Directs and leads  Admin level I and II plus other entry level/ junior associates
  • Personal, telephone and written contact with customers and all levels of NCI Corporate including senior, mid and administrative staff.
  • Provides leadership role to junior administrative staff
  • Performs other duties/assignments as required
Position Requirements
  • Microsoft office software including Excel (spreadsheets) Word (word processing), Powerpoint (presentation), Access (database), Gmail (email) and Google Drive.
  • Typing
  • Mailing and shipping experience and knowledge (USPS, Federal Express, UPS etc.)
  • Experience working on cross departmental initiatives.
  • Minimum education is Associates or technical degree
  • Bachelor or 4 year technical degree is preferred
  • Must have at least 3 years Administration experience in the sales, real estate or marketing field with demonstrated increased responsibilities. 5 years is preferred.
  • Requires the ability to prioritize work, meet deadlines and make independent judgements based on directions provided by management with extreme attention to detail.  Provide training and leadership to junior administrative staff as well as the distribution and inside sales teams. This position also requires the ability to handle confidential information with the strictest confidence.
