Picoma, a division of JMC Steel Group seeks a Customer Service Representative for our Cambridge, OH facility.  Reporting to the Customer Service Manager, this person reviews incoming orders, enters new orders and changes existing orders; reviews and enters transactional information for the Customer order Support Process; and performs administrative assignments, including telephone support, data entry, communication with customer/agents, and expediting or orders / information.  The Customer Service Representative does whatever it takes to meet customers’ expectations.

 

RESPONSIBILITIES:

 

  • Review customer purchase orders and related sales information for correct dates, incoterms, billing/scheduling blocks.
  • Process Sales Orders into E-commerce (web) system and SAP as required by customers/agents.
  • Act as customer contact for all house accounts and process house account sales orders and order changes to include price quotations, preparation and follow-up of purchase orders, and confirmation of shipment dates.
  • Coordinate communication with customers/a.
  • Expedite and coordinate with team members the delivery of materials as required by customers.  Informs customer of specific shipping dates when needed, including anticipated delays and any additional information needed by customers.
  • Acts to assist any of 43 rep agencies from order entry to expediting orders.
  • Perform initial training of new agents as well as follow-up training when needed.
  • Uses SAP to retrieve customer information, verify inventory levels and process purchase orders.
  • Monitors daily backorder reports for agents and facilitate processing of backorders when needed based on most economical location to fill the backorder.
  • Interacts with Product Control, Shipping, Purchasing and Traffic departments regarding order status and scheduled shipment dates and communicates back to the customers/agents.
  • Prepares shipping documents such as bills of lading and labeling, as needed on orders.
  • Researches and processes customer claims of invoice adjustments.  Researches and processes charge backs and credits to provide Credit Department with reason for adjustments.
  • Run monthly sales activity reports for Regional Managers.
  • Provides sales representatives and customers with informational materials such as sales brochures, catalogs, etc.
  • Print and scan daily shipments as well as posting mill shipments.
  • Act as back-up for other CSR.
  • Other responsibilities and special projects as necessary and assigned.

 

 

REQUIREMENTS:

Associate Degree or equivalent and 2-3 years of customer service / inside sales experience, preference is experience in conduit/fittings industry.  Excellent communication skills (both verbal and written).  Good math aptitude and excellent organizational skills.  Thorough knowledge of Microsoft Office including Excel, Word and Outlook.  Experience in SAP is a plus.  Sound decision making ability in a fast-paced environment
