Job Title: Administrative Assistant – KY

Reports to: Program Manager

Revision Date: June 2013

Department: Human Resources

Salary: Depending on Experience 

Classification: Full time – 40 hours

Regular shift hours may fluctuate to meet business needs. Office hours are 9a-9p M-F.

Job Purpose:

Provide administrative support to a Human Resources department and Program Manager working across multiple computer applications within the MS Office Suite (Word, Outlook, PP and Excel). The Administrative Assistant will focus on producing high quality deliverables. As a member of the team, this individual will assist in providing reports to management, assisting with the recruiting process, and tracking. Other duties include, but are not limited to the daily processing of employee actions and maintaining HR databases.

Position Duties:

  • Prepare and modify documents including: correspondence, reports, drafts, memos and emails.
  • Schedule and coordinate meetings, appointments and arrangements for applicants, managers or supervisors via MS Outlook/MS Calendar.
  • Prepare agendas for meetings and prepare schedules.
  • Prepare and analyze various reports, documents and presentations with a variety of software applications in MS Word, PowerPoint and Excel. Complete data entry into customized software/HRIS.
  • Plans and arranges conferences, meetings and/or special events under general instructions from supervisor; communicates arrangements to appropriate individuals.
  • Prepares or directs preparation of minutes, notices, manuals, agendas and correspondence with all supporting documentation, requiring application of specialized knowledge of the assigned function.
  • Answer, screen and transfer inbound phone calls, maintain electronic filing system.
  • Handle requests for information and data.
  • Resolve administrative problems and inquiries and prepare written responses to routine inquiries.
  • Adhere to confidentiality and discretion as this role has access to confidential employee and applicant information.
 
Position Requirements

Skills/Qualifications:

  • 2 - 4 years Administrative Assistant capacity or equivalent supporting one to two individuals in an Administrative capacity.
  • Intermediate to Advanced user of MS Outlook, Calendar, Word, Excel & PowerPoint.
  • Experience with an HRIS system ideal.
  • Ability to type at least 30 wpm.
  • Excellent verbal/written communication skills, multi-tasking skills & detail oriented.
  • Ability to navigate multiple applications and learn company specific software.
  • Ability to search and browse internet proficiently.
  • Strong time management skills with the ability to quickly assess priorities and make adjustments as needed.
  • Ability to maintain positive relationships and work well within a team both in-office and virtual team.
