Koniag, Inc. is hiring an Administrative Assistant/Receptionist for their Anchorage, Alaska corporate offices. This position is the first line of communications between the corporation, the public, and business associates.Additionally, provides administrative support as needed. The position may provide similar services for companies within the corporation. This position reports to the Executive Associate.


  • Responsible for opening office in morning and securing when departing at the end of the day.
  • Provides excellent customer service while promoting good public relations by providing information, assistance and referrals as appropriate.
  • Answers telephones in a consistently professional and courteous manner and maintains voicemail system.
  •           - Reviews incoming messages and transfers to appropriate staff.

                     - Receives incoming calls and transfers.

                     - Maintains current telephone system recorded messages.
                     - Maintains current internal and external telephone extensions list.

  • Processes and routes all incoming mail, faxes and packages to appropriate staff.
  • Posts all out-going mail and is responsible for its delivery to the post office; prepare courier deliveries and special service shipments and is authorized to sign for deliveries.
  • Receives postage funds and submits to Finance Department at the end of each month.
  • Maintains log of all incoming checks and cash receipts, express shipments and certified mail received and sent.
  • Maintain master contacts list and various event mailing lists.
  • Prepares coffee and hot water each day including in preparation of any meetings or events taking place during the day.

Office Administrative ; Governance Support

  • Responsible for maintaining a professional, neat, clean, organized and efficient office environment, including responsibility for the upkeep and scheduling of maintenance for all office equipment.
  • Serve as purchasing agent for the corporation:

                      - Ensures office supplies are replenished in a timely manner. Responsible for ordering, pick-up and

                         delivery of office supplies.

                      - Cultivates good public relations with all vendors.

  • Maintains office supply inventory and organized storage facilities.
  • Responsible for any and all types of word processing including but not limited to preparation of correspondence, reports, manuals, and spreadsheets.
  • Assists Legal Department as needed in preparation of Board and Board Committee meetings including but not limited to correspondence, minutes, agenda preparation, reports, Board meeting material, and meeting follow-up tasks.
  • Maintain Sharepoint Sites for departments and projects.
  • Assist with Office events and event planning.
  • Provide notary services.
  • Other tasks as may be assigned from time to time.

Records and Information Management Support:

  • Maintains corporate filing system to include paper, electronic and archival filing systems by performing database input, document preparation and imaging duties.
  • Performs various clerical duties and respond to requests for information, identification, classification, indexing of records, and other records and compliance services.
  • Handles sensitive material concerning the organization.


Position Requirements

Knowledge, Skills & Ability:

  • Minimum high school diploma or general equivalency diploma (GED) is required.
  • Minimum of 3-5 years administrative experience in addition to one (1) year of experience in records or file management is required.
  • Manual dexterity to operate computer keyboard and standard office equipment.
  • Proficient with keyboarding, MS Office Software and office equipment (copiers, imaging equipment, etc.)
  • Must have knowledge of corporate organizational structure, operations, policies and procedures and standard office practices, methods and procedures.
  • Must exhibit a high degree of professionalism, positive attitude, and be trustworthy.
  • Ability to handle confidential information.
  • Effective oral and written communication skills.
  • Strong interpersonal and organizational skills.
  • A valid Alaska Driver's License that meets corporate insurance criteria.
  • Handle multiple tasks with minimal supervision.
  • Dependable attendance.
  • Ability to work in excess of a 40-hour work week if necessary.
  • Ability to sit and review information on a computer screen for long periods of time (up to 10 hours a day with lunch and breaks).
  • Must be able to withstand repetitive motion up to 10 hours a day with lunch and breaks.


Office Locaton and Travel:
This position is located in Anchorage, AK.
Occasional to frequent travel to other local and out of state business sites, conferences and meetings is required.

Working Environment & Conditions:
This position is primarily indoors, consistent with a standard office position and has a noise level of mostly low to moderate. The incumbent is required to stand; walk; sit; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; talk and hear. The work load may require the incumbent to sit for extended periods of time. The incumbent must occasionally lift and/or move up to 25 lbs. Specific vision abilities required by the job include close vision, distance vision, color vision, depth perception, and the ability to adjust focus.
