Dowland-Bach is recruiting for the position of Office Administrative Assistant for its office located in Anchorage, Alaska.

Job Summary:

This person’s primary responsibility will be to answer phones, maintain office equipment, maintain and archive records, and assist with other documentation needs.  This position reports directly to the General Manager, while working within a collaborative team environment. 

Essential Functions & Responsibilities will include, but not limited to:  

Duties include but are not limited to:

  • Politely answer and appropriately direct incoming phone calls
  • Create, edit and archive projects in company database
  • Maintain copy/fax machine supply levels and other routine on-site copier upkeep and maintenance functions
  • Archive, organize and maintain active and inactive project files (paper and digital format)
  • Coordinate proper records storage and control
  • Update vacation calendar, corporate schedules, electronic  “in/out” board
  • Perform miscellaneous job-related duties as assigned to include: running reports, printing, copying, faxing, filing etc.
  • Provide support to the engineering team with printing request for quotes and project submittal packages
  • Assist project managers and office staff with other duties as directed.

Position Requirements

Position Requirements:

  • Associate Degree or equivalent with minimum 5 years’ relevant work experience.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, and Project), QuickBooks, Adobe Acrobat etc.
  • Ability to handle confidential information when processing documentation
  • Excellent oral and written communication skills, including strong attention to detail and proofreading skills
  • Demonstrate self-motivation and initiative
