What We Do:

The SEI helps advance software engineering principles and practices and serves as a national resource in software engineering, computer security, and process improvement. The SEI works closely with defense and government organizations, industry, and academia to continually improve software-intensive systems. Our core purpose is to help organizations improve software engineering capabilities and develop or acquire the right software, defect free, within budget and on time, every time.

Position Summary:

This position is for an Administrative Assistant that will work across teams within the CERT Division of the Software Engineering Institute at the Pittsburgh location. You will provide a broad range of administrative support and secretarial assistance, scheduling and supporting meetings and workshops; reserving conference rooms; receiving and screening incoming calls; staffing the front desk when needed; making travel itineraries; generating and submitting travel reimbursements; handling purchasing for technical staff; handling confidential matters; generating correspondence, reports, and presentations; and performing related duties as assigned. We are looking for someone who can provide high-quality, professional, and efficient administrative support to all program members, while ensuring CERT and SEI policies and procedures are followed.

Requirements:

  • High School diploma or GED.
  • Three to five (3-5) years' clerical experience.
  • Movement between buildings within the SEI and CMU community required.
  • You will be subject to a background check.

Knowledge, Skills and Abilities:

  • You should have strong interpersonal, social, and problem solving skills.
  • A willingness to assume responsibility and to exercise good judgement.
  • Be willing to seek new tasks and accept responsibility for accuracy and implementation of new ideas.
  • Have the ability to handle multiple tasks simultaneously.
  • Advanced knowledge of Microsoft Office products and related software

Desired Experience:

  • Associate's degree or equivalent business school degree.
  • Experience in a high tech office setting.
  • Experience working in a classified environment and/or working with government customers.

Job Function Breakdown:

30% Provides administrative assistance such as coordinating and supporting meetings and workshops; reserving conference rooms; receiving and screening incoming calls; drafting correspondence, reports, and other documents. Supports budgeting, financial tracking and other related processes.

25% Provides front desk coverage for two hours daily.

20% Coordinates travel reservations, prepares paperwork for reimbursements, and leads distribution of reimbursement funds.

20% Assists in research, preparation and processing of information for items, including purchase requests and contract agreements.

5% Performs related work and special projects as assigned.
