Executive Assistant

As an Executive Assistant to the VP of Sales this position will be a key liaison betweenthe executive and other internal Monsters and outside relationships. The Executive Assistant will be responsible for a wide range of high level administrative and executive support tasks. He/She should have good knowledge on the company’s operations, policies and procedures. He/She should be able to work independently with little supervision. The position will support mostly the VP of Sales, and be open to providing back-up support to other members of the Executive Committee.


POSITION RESPONSIBILITIES - Manages the following functions:

• Responsible for the executive’s calendar management, requiring interaction with internal
Monsters and external relationships to coordinate a variety of meetings and events.
• Coordinate with the Travel Department to arrange travel schedules and reservations for hotels,
transportation and meeting spaces.
• Create and maintain the filing systems for the executive; getting all the documents and files
organized and updated; keeping all the business contact information organized and up to date.
• Provide other administrative support tasks, such as photocopying, notes taking, word
processing, ordering supplies, sending out memos, placing samples/accommodation orders, etc.
• Prioritize and manage multiple projects simultaneously, and follow through on tasks that are
assigned and make sure they are completed on time and at a high level
• Coordinate logistics for Pillar team meetings and functions both on site and off site, including
booking space, arranging A/V equipment, ordering meals/snacks, creating team building games,
• Provide support on administrative electronic communications on behalf of the executive regarding meeting scheduling and various approvals.

• Manage the approval document transfer process, making sure that requisitions, checks, expense
reports, wires, ACH transfers, bank documents, legal documents, contracts, etc. are signed by
the appropriate executives and properly distributed back the right parties at Monster.
• Assist in creating and developing executive level PowerPoint presentations as may be required
from time to time.
• Assist in preparation of travel advance and creating/submitting expense reports and getting
proper sign-offs and coordinating communication with the Marketing, Product Development teams.
• Other additional duties as required from time to time.

The incumbent’s performance will be assessed on:

• Excellent knowledge of who the key players are in each pillar and
department, the company operations, policies and procedures
• Ability to keep the executive’s daily activities organized and make
sure important meetings/tasks are flagged for attention
• Ability to work with all level of personnel within Monster and be able
resolve a wide range of issues using his/her interpersonal and
communications skills

Position Requirements

SKILLS & EXPERIENCE: The successful candidate will have the following experience or
knowledge in the following areas:

• Good judgment and decision making skills
• Strong understanding on how to handle confidential and sensitive information
• 5+ years of experience as high level executive assistant with experience in interacting with executives

• Ability to work a 24/7 availability schedule.
• Common sense and a good understanding of people and personalities
• A team player and ability and desire to pitch in where necessary
• Excellent communications and interpersonal skills with ability to build internal and external relationships
• Ability to manage projects independently without supervision from the VP of Sales.
• Attention to details and highly organized with paperwork and
• Ability to anticipate, prioritize and juggle a variety of tasks
• Good skills in Microsoft Office applications, especially Outlook, Word
and PowerPoint
• Resourceful - good knowledge/sources of various information that
may be useful for the job duties

EDUCATION:  Bachelor's Degree in any discipline
