Order Entry Coordinator  

  • Maintains customer' accounts information and records up to date in Macola
  • Enter in Macola all customer orders within 48 hours
  • Enter in Macola NCO (no Charge Orders) within 48 hours
  • Print and analyze open order report approximately daily. Inform Customer Service/Sales Operations Manager when a follow-up is needed with a customer to get approval on an order.
  • Process backorders when product becomes available
  • Communicate with sales staff to verify all information is correct and clear up any missing information or inconsistencies on their NCO orders
  • Upload orders into Exact (EDI) and coordinates with the warehouse to ship orders
  • Responsible  for entering into Macola all RMA's and Credits
  • Responsible  for invoicing
  • Responsible for sending invoices to customers via email or via regular mail
  • Respond to inbound customer inquiries for information such as ship dates, or other existing order questions
  • Maintain the Logistic Problem box
  • Responsible for scanning and filing
  • Perform other related duties in support of the office as assigned by management
  • Assist with order placement via telephone

Position Requirements
  • Bilingual- English & Spanish is a plus
  • Good communication skills both oral and written
