Description

Functions as a liaison between vendors and employees and advises employees on eligibility, coverage, and other benefits matters, providing responsive customer service to employees. Compiles and maintains benefits records and documents. Manages all benefit related eligibility, processes enrollments/changes/terminations, and manages billing.

DUTIES: The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.

  • Answers employee calls and walk-ins in a responsive and professional manner.
  • Processes benefit applications, new hires, changes, and transfers.
  • Assesses and determines eligibility of applicants; assigns effective dates for benefits; communicates status of changes with employees.
  • Conveys applicable follow-up communications regarding applications, new hires, changes, and terminations.
  • Reviews employee status changes affecting benefit eligibility or file maintenance; such as termination of employment, reduction in hours, name/address changes, and department transfers.
  • Ensures that updates of benefit paper files, file labels, insurance systems and applicable third parties occur.
  • Conducts new hire benefits orientation on a weekly basis and recommends suggestions and improvements to HR Manager.
  • Manages all third party benefit billings; requiring monthly review/reconciliation and frequent audits; assigns and administers employee refunds/collecting premiums as appropriate.
  • Serves as a liaison between third party benefit providers and employees (medical/dental insurance providers, life/LTD/STD providers, flexible spending administrator, and other applicable entities).
  • Collaborates with Payroll/Finance and other departments to ensure that billing and payroll deductions are accurate.
  • Maintains, processes reports, and reconciles billings in HR software program troubleshoots program issues and recommends course of action and/or program enhancements.
  • Oversees and identifies claim issues/trends by working with employee(s) and insurance companies to resolve applicable issues; then reports any issues and trends to HR Manager.
  • Prepare and maintain employee files, assuring accuracy, compliance and confidentially. i.e.: disability and unemployment claims, verifications, I-9 status, and State regulations.
  • Understands and applies benefit laws such as COBRA, HIPAA, ACA, and other related benefit regulations/laws.
  • Assists with the annual renewals of benefits and the open enrollment process.
  • Assists in setting up or revising benefits plans in the HR software program
  • Creates and processes various reports on a frequent basis; identifies employee missing deductions, and takes appropriate action as needed.
  • Manages employee benefit files by ensuring files are updated, in order, accurate and properly documented.
  • Assists with wellness activities and general HR duties as assigned.
  • Orders, maintains, and ensures that all benefit supplies are in stock.
  • Attends training and benefit educational events.
  • Maintains strict confidentiality of departmental issues and documentation.
 

Position Requirements
  • Two (2) to four(4) years in benefits or related benefits/HR administration.
  • Effective communication skills, oral & written.
  • Experience in Word, Excel, payroll and other applicable database programs.
  • Strong organizational and interpersonal skills.  Should be very detail oriented.
  • Ability to effectively communicate with people in potentially stressful situations.
  • Ability to consistently meet daily, weekly and monthly deadlines.
  • Willingness to travel throughout the U.S.
