Benefits Specialist 


Brooklyn Academy of Music (BAM), an internationally recognized presenter of contemporary performing arts and cinema, seeks Full-Time Benefits Specialist to provide information, education, advocacy and assistance to staff regarding BAM's benefit plans.

Job Responsibilities:

  • Ensure that benefits are administered accurately, efficiently and to the satisfaction of employees, outside vendors, finance department and legal entities
  • Seek out new benefits plans & HR practices that improve employee satisfaction, retention, as well as lower costs for the institution
  • Find new ways to communicate with staff members to ensure a thorough understanding of benefits, policies, procedures and a general understanding of how BAM works (e.g. the culture of BAM)
  • Improve department workflow and business process to ensure the department is operating most efficiently and productively
  • Ensure compliance with all federal programs such as COBRA, HIPAA, and FMLA.


  • Conduct benefits orientations, and continually improve methods to educate staff about benefits
  • Prepare purchase orders for health vendors, crosscheck data and investigate discrepancies in payments. Work with the Finance department to reconcile benefits billing data on their end
  • Add, change, and terminate employees from health insurance, dental insurance, life insurance, transit program, Flexible spending accounts, and gym memberships
  • Ensure compliance with BAM policies, Federal, State, and City laws and regulations, i.e. Occupational Safety Health Administration (OSHA), HIPAA, Department of Labor (DOL) and Equal Employment Opportunity Commission (EEOC) compliance
  • Reconcile and ensure payment of benefit bills
  • Keep BAM benefit summary up to date to be shared with applicants and new hires
  • Verify benefit eligibility for staff based on plan requirements and BAM policy
  • Perform benefits exit interview with exiting staff
  • Lead wellness committee and assist with related initiatives (e.g. health fair)
  • Coordinate and oversee open enrollment process
  • Prepare yearly benefit statements
  • Maintain excellent relationship with all third parties including benefits broker

HRIS & Payroll:

  • Learn payroll system and serve as back-up to payroll manager
  • Assist with implementation of technology changes and improvements for department

Generalist/ Administrative:

  • Prepare and maintain HR & benefit information that is available to staff
  • Prepare and organize departmental POs and credit card expenditures and submit for processing with Finance (or HR assistant)
  • Distribute and reconcile petty cash for department
  • Coordinate wage notice mailing
  • Create reference manuals as guidelines for managerial and HR-related procedures

HR Compliance & Reporting:

  • Inform staff about their FMLA, COBRA & HIPAA rights, prepare correspondence with eligible staff
  • Administer and track COBRA, Family Medical Leave Act, Short Term Disability and Long Term Disability
  • Respond to workers comp and disability requests and claims
  • Ensure proper reporting of data to internal and external customers.
  • Gathers and analyzes data to find statistical information on departmental processes that could be improved.
  • Develop metrics to evaluate relevant HR programs and procedures
  • Prepare OSHA, 5500 and EEO reports


Position Requirements
  • Bachelor’s degree (human resources, business administration or related)
  • Some prior training, experience or coursework in human resources required
  • At least one year of experience working with employee benefits or human resources
  • Excellent excel and database skills, and comfortable with a variety of technology
  • Experience with Microsoft Excel and demonstrated skills in database management and record keeping
  • Excellent organizational, oral and written communication skills
  • Knowledgeable of federal, state and local employment laws

Salary Salary is commensurate with experience (Full benefits package is offered)
