General Position Summary

The Legal/Risk Management Assistant will work in conjunction with the V.P & Deputy General Counsel to meet the legal needs of the organization and assist V.P of Risk Management & Quality with quality and risk reduction recommendations to physician-owners of urgent care and walk-in centers operated in multiple states as “MedExpress.”  The Legal/Risk Management Assistant shall also manage all documentationrelating to these efforts.

Major Responsibilities

1. Gather and analyze employment records, medical records, medical invoices, internal policies/procedures & training materials to identify those most relevant to the issues/inquiry at hand and prepare detailed executive summaries of same, timelines, and binder (with index) of relevant materials for use by in-house and outside counsel.

2. Reconciliation of various medical invoices from multiple healthcare providers and insurance carriers to determine, among other things, amounts accepted by providers as payment in full, out of pocket expenses incurred by patient, and outstanding balances.

3. Revise and prepare legal agreements, releases, reports, correspondence and other documents under the written or verbal direction (including dictation) of counsel.

4.Gather information/materials from various individuals/departments within organization responsive to legal discovery request s and preparation of preliminary responses for submission to counsel.

5. Administrative duties including calendar management, scheduling of meetings/Peer Review, preparation/gathering of materials for meetings, preparation of Power Point slides, Excel spreadsheets, etc.

6. Conduct on-line research regarding medications, claimants, issues, etc.

7. Interface with outside counsel to process their requests for information, materials, interviews and depositions.

8. Processing/facilitating/tracking payments to claimants, vendors, attorneys, and others to ensure payment of obligations in a timely fashion, requiring interfacing with internal finance personnel and third-parties.

9.Maintain long-term electronic storage of documents/materials in highly organized fashion thus enabling prompt retrieval.

10. Review and analysis of medical records, incident reports, and other information/materials in preparation of Notice to Carriers of claim/suit. 

11. Maintain files for storage and tracking the completion of  Quarterly OSHA Audits

12. Assist with preparation of applications and retrieval of data required for annual insurance policy renewal


Position Requirements

Knowledge, Skills, Abilities and Other Qualifications

1. Ability to handle information/materials while maintaining strict confidentiality.

2. Excellent organizational and writing skills required.

3. Proficient Microsoft Office skills, specifically in Excel with the ability to create pivot table.

4.  Ability to multi-task.

5.  Experience in Legal or Healthcare field is preferred.


Working Conditions

Non-Center Based.  Requires:   the ability to sit at a computer for hours at a time (with some bending and stooping) and travel to Centers (if so, the noise level is moderate and there is potential for exposure to infectious diseases and blood-borne pathogens).
